Propose an activity
Organizations ask before they plan. The bishopric gives a quick yes.
- Where
- Activities
Activities is where an organization asks the bishopric about an activity before planning it, and where the bishopric answers. Each request has a title, a day, a place and an estimated cost, so the bishopric knows what is planned and roughly what it costs before anyone books anything.
It is a quick check, not a budget. 1stHour never adds up the costs. Spending stays in LCR.
Note
Activities shows up only in wards where it has been turned on. The bishopric can also take it away from one organization, in Settings → Your ward → Organization tools → Activities: that organization's leaders then have no Activities tab. If you don't see it, it isn't on for your ward or your organization.
Only an organization's leaders who sign in to 1stHour propose activities: an Org editor, or the Ward mission leader for Ward Mission. The bishopric and the ward clerk answer and read requests; they don't propose them.
Heads up
Nothing is sent. 1stHour doesn't email anyone about a request or an answer. The request shows on the bishopric's Today and in Activities, and the answer shows on the organization's Activities tab.
1. Propose an activity
- Open the Activities tab and tap Propose an activity.
- If you lead more than one organization, choose it under Which organization.
- Under What is it?, type a short title, such as "Quorum hike".
- Choose the Day. For a camp or anything longer, tap + More than one day and choose the Last day.
- Add Starts at and Ends at if you know them. Both are optional.
- Enter Where it will be and the Estimated cost. Tap Where to pick one of your ward's saved places, or type any other.
- Under What you have in mind, say what you plan to do.
- Tap Send to the bishopric.
It shows as Waiting on the bishopric until someone in the bishopric answers.
If the day is sooner than your ward asks for, the form says so. You can still send it. It's marked Short notice for the bishopric.
2. A joint activity
If another organization is invited, tap it under Joint activity (optional), then say How will the cost be split? in your own words.
The invited organization sees the request on its own Activities tab. It can read it, but only your organization can change or cancel it.
3. Answer a request
The bishop or any counselor can answer. One answer is enough. The ward clerk sees every request but can't answer.
Requests waiting on you come first, under Waiting on you. Open one to see the day, the place, the estimated cost and who asked. Then choose:
- Approve
- It's approved. The organization can go ahead.
- Approve with changes
- Change the day, the times, the place or the cost, and add a note if you like. Then tap Approve with these changes. The organization accepts the changes before it counts as approved.
- Ask for changes
- Say what should change and tap Send it back. The organization changes it and it comes back to you.
- Decline
- Say why, such as "Not allowed by the handbook", and tap Decline it. A declined request is final: it can't be changed or answered again. The organization can still propose the activity again, as a new request.
Today shows how many requests are waiting for an answer. Each one is also in the bishopric meeting under Decide today, and an approved activity in the next 90 days is under Coming up, so the room sees them too.
4. After the bishopric answers
Open the request to see the answer and any note.
- Approved with changes: read the changes, then tap Accept the changes. Until you do, you can't change the request. If the changes don't work, cancel it instead.
- Changes asked for: change what was asked. Each change saves as you type and goes back to the bishopric.
- Approved: you can still fix the title or the description. A new day, time, place or cost sends it back to the bishopric for another look.
To put an approved activity on the ward calendar or the bulletin, tap + Add to the calendar or bulletin under it in your list, or Add to the calendar or bulletin inside the request. Either opens the bulletin's own form with the title, day, times and place filled in. Write the details for the ward there yourself. Both show only while your organization keeps Bulletin under Organization tools; without it, ask the bishopric or the bulletin editor to add it.
Heads up
The calendar and the printed program are public. The estimated cost, the cost split and what you wrote under What you have in mind are never copied into the announcement, so they stay with signed-in leaders.
To call it off, tap Cancel this request, then Yes, cancel it. The bishopric sees it was cancelled.
5. When a request is done
A declined or cancelled request moves to Done. So does any other request once its day has passed, including one nobody answered. Tap Done to open the list.
Heads up
A done request is deleted for good 90 days later: 90 days after it was declined or cancelled, or 90 days after the activity's last day for the rest. It can't be brought back. An announcement you made from it stays on the bulletin and the calendar.
6. How far ahead to ask
SettingsActivitiesHow far ahead to ask
Choose how many weeks ahead an organization should ask. It is 4 weeks until you change it. A request for a day sooner than that still goes in, marked Short notice.
