Interviews for a baptism
Ask from the baptism; the bishopric sets the time.
- Where
- A baptism → Interviews
Whoever plans a baptism can ask the bishopric to set up its interviews from the baptism itself. They don't book a time. The bishopric reaches out to the family and schedules each one in Appointments, then the baptism shows where each interview stands.
A Primary baptism asks for the child being baptized, the baptizer, and whoever performs the confirmation. A Ward Mission baptism asks for the baptizer and whoever confirms. When one person does both, they're asked for once.
Note
This needs Appointments switched on for your ward. With it off, a baptism has no Interviews section.
1. Ask for the interviews
A baptismInterviews
- Open the baptism, from Programs or Upcoming.
- Under Interviews, tap Ask the bishopric for interviews.
- Check the names. Child being baptized starts with who is being baptized, Baptizer with who performs the baptism on the program, and Confirming with who performs the confirmation. Someone doing both is listed once. Change any of them, or clear one to leave it out.
- Add anything the bishopric should know, and a day under Would like it by, if you like. The day can be today at the earliest and the day before the baptism at the latest, since the interviews come first.
- Tap Send to the bishopric.
Nothing is sent to the family, and no email goes out. Each person asked for becomes an appointment with the bishop, waiting for a time on To schedule in Appointments, and the executive secretary gets an assignment to schedule it (see who schedules it).
Ask the bishopric for interviews shows only while someone this baptism needs hasn't been asked for. Once everyone is asked for, it goes away. If the bishopric closes a request, it comes back so you can ask for that person again.
2. Remind the bishopric
A baptismInterviews
While a request is still waiting for a time, tap Remind the bishopric under Interviews. Each waiting request shows "Reminded" and the day. You can remind once a day.
No email or message goes out. The appointment's row on To schedule says "Reminded" and the day, and the baptism shows on the bishopric meeting's Decide today.
3. See where each one stands
Each person asked for shows under Interviews on the baptism, with one of these:
- Asked
- The bishopric has it and will reach out to set a time. "Reminded" and a day follow once someone reminds them.
- Scheduled
- A time is set. You see the day.
- Held
- The interview has happened.
- Closed by the bishopric
- The bishopric closed it without booking a time. If they said why, their note shows under it.
An org rep sees only these words, the day and the bishopric's note on a closed request. Who holds the interview and the time of day stay with the bishopric. See who can see what.
4. Schedule a request
AppointmentsTo schedule
The number on Appointments counts the baptism interviews still waiting for a time. You see it on the Appointments card on Today, and beside Appointments in the sidebar. Tap either one while it shows a number, and To schedule opens. On the other Appointments views, a line such as "2 baptism interviews to schedule" takes you there.
Each interview asked for is under Needs a time, as a Baptismal interview with the bishop "from a baptism". Its row also shows who the interview is for, the baptism's date, who asked, and their note. A reminded one says "Reminded" and the day.
- Tap Schedule beside the person.
- The schedule sheet opens on it. Change the type, the length or who interviews if you need to.
- Pick a time, or tap Some other time, and schedule it as you would any appointment.
Once the interview has a time, it leaves To schedule and the number goes down. The baptism then shows "Scheduled" and the day. One sent out on a link to choose a time still counts until a time is set.
From baptisms, at the top of To schedule, holds an ask with no appointment yet. That happens when 1stHour doesn't know who the bishop is, or after its appointment was cancelled. Its Schedule makes the appointment and opens the sheet.
Each baptism with an interview waiting is also a row in the bishopric meeting's Decide today. Its Schedule opens To schedule. From a baptism, the bishopric can also tap Schedule it in Appointments to go straight there. The ward clerk asks and reminds the way a rep does, and sees the same words; scheduling and closing a request are the bishopric's.
5. Who schedules it
Each interview asked for is also an assignment on Assignments, such as "Schedule Ana Ruiz's baptismal interview". It is the executive secretary's: the bishopric sign-in with that calling in Who can sign in. With no executive secretary, it belongs to the Bishopric, and every bishopric member has it under Mine.
With an executive secretary, only the secretaries and the bishop see it, as only they see the bishop's appointments. With none, every bishopric member sees it, though only the bishop can open the appointment. The ward clerk never sees it. Each one is checked off when its interview has a time. It goes away if the appointment is cancelled or the request is closed.
6. Close a request without an appointment
AppointmentsTo schedule
- Tap the arrow on the person's row under Needs a time, then Close the request. In From baptisms, tap Close under the person instead.
- Under Anything to send back?, add why, if you like. Whoever asked reads it on the baptism.
- Tap Close the request.
Heads up
Close the request takes its appointment off To schedule too, and its assignment off Assignments.
The baptism shows "Closed by the bishopric", with your note under it. The number on Appointments goes down.
Once the interview has a time, or times were sent to choose from, there is no Close the request. To close it, cancel the appointment first.
