Who can see what

The roles in 1stHour, and what each one can do.

Where
Who can sign in

Everyone who signs in to your ward has one role. The role decides which screens they get and what 1stHour will hand them. You choose it when you invite them from Settings → Your ward → Who can sign in (see who can sign in).

When a role can't see something, 1stHour's server doesn't send it to that person's phone at all. It isn't just left off their screen, so nobody can dig it out.

There are six roles: Bishopric, Ward clerk, Bulletin editor, Org editor, Ward mission leader and Musical director. Anyone who only reads the program link doesn't sign in and has no role: see the public page.

1. Choosing a role

Choose by what the person needs to do, not by their calling:

  • Plans Sundays, business, callings and meetings with you: Bishopric.
  • Does all that and keeps the records up to date in LCR: Ward clerk.
  • Keeps the ward's announcements, artwork, contacts and links, and prints the program: Bulletin editor.
  • Posts announcements for one or two groups, such as Relief Society or Primary: Org editor.
  • Plans and publishes their own organization's programs, such as a fireside: Org editor.
  • Drafts baptism programs: Ward mission leader, or an Org editor who holds Primary.
  • Picks the hymns and the music between the talks: Musical director.

If you aren't sure, choose the role that sees less. You can change it later.

2. Bishopric

For the bishop and his counselors, and usually the executive secretary.

A Bishopric sign-in sees and does everything in 1stHour, except the bishop's own schedule, which only the bishop and the executive secretary see (see the bishop's schedule). Recommend renewals are the same: the bishop and the executive secretary see all of them, and anyone else in the bishopric sees only their own. It is the only role that can:

  • give someone the Bishopric role, change a Bishopric sign-in to another role, or Remove a Bishopric sign-in in Who can sign in;
  • switch parts of 1stHour on or off, with the switch on each one's heading in Settings (see switch off what you don't use);
  • choose which tabs each organization's leaders get in Settings → Your ward → Organization tools (see which tabs each organization gets);
  • set up the ward's Paths, and open and start them (see walk alongside someone);
  • turn Publish a calendar feed on or off in Ward page → Announcements;
  • feature an announcement on the ward's home and Announcements with Featured (see the bulletin);
  • answer an organization's activity request in Activities, where your ward has it;
  • reword an announcement for one Sunday only (see reword one for this Sunday);
  • move a program to another organization, or back to the bishopric, under Whose program is it?;
  • bring in recommend renewals from LCR, and change the words in Settings → Your ward → Message templates;
  • get notifications on their phone and the morning schedule email (see get notifications);
  • where the ward tries the Assistant, turn it on or off, read the log of what was sent, and connect an AI app (see the Assistant).

The bishopric also runs missionary meals and every sign-up list, where the ward has Signups on. So do some other roles, below, but never the clerk.

A ward always keeps at least one Bishopric member who has signed in, so the last one can't be removed. An invitation that hasn't been accepted yet doesn't count, so it can always be removed.

3. Ward clerk

For the ward clerk.

The clerk plans alongside the bishopric: Sundays, ward business, the Bulletin, Callings, Assignments (except the bishop's private ones), meetings and Who can sign in. Appointments stay with the bishopric (see the bishop's schedule). The clerk also gets To record, a list of what has happened and still needs entering in LCR. In place of Paths in Settings, the clerk gets Welcome checklist, the steps for a household that moves in.

What the clerk can't do

The server refuses each of these to the clerk, not just the screen. The clerk can't:

  • give anyone the Bishopric role, or change or remove a Bishopric sign-in, including which person in People it is. Role doesn't offer Bishopric to the clerk, and Bishopric sign-ins show no Adjust access, Change role, Change email, Remove or Change;
  • switch parts of 1stHour on or off. The clerk sees which ones are on;
  • publish the ward's calendar as a feed. The clerk sees the switch but can't change it;
  • feature an announcement. Featured is the bishopric's alone;
  • answer an activity request. The clerk sees every request in Activities but can't approve, change or decline one;
  • open Appointments, or see anyone's appointment, a counselor's or the bishop's. The clerk has no Appointments door or card, and Settings has no Appointments and no When I'm available. A calling's interview step reads Extend it for the clerk, as it does in a ward without Appointments (see extend it);
  • see recommend renewals, or open Message templates in Settings;
  • reword an announcement for one Sunday only. The clerk sees the words and tags;
  • change the conducting script in Settings → Sacrament meeting → Conducting script, or an announcement's own words under At the pulpit. The clerk reads both: the script page shows each line under Read aloud, with nothing to change, and the clerk still chooses whether an announcement is read aloud;
  • move a program to another organization;
  • set up, open or start Paths, apart from the welcome for a household that moved in;
  • choose which tabs each organization gets (Organization tools);
  • run Signups: no missionary meals and no sign-up lists. The clerk can still let a bulletin editor run them, in Who can sign in;
  • get notifications on their phone or the morning schedule email. Settings has no Notifications row for the clerk;
  • turn the Assistant on or off, or read its log of what was sent. Where the ward has the Assistant on, the clerk uses it like the bishopric;
  • connect an AI app.

4. Bulletin editor

For whoever keeps the ward's announcements, such as a ward bulletin specialist. A bulletin specialist can also be the one who sets the ward up, picking Bulletin specialist as their calling: they get this role, and the bishop they name is invited as Bishopric.

A bulletin editor's app has three tabs: Announcements, Sundays and Contacts, then More (on a wide screen, a sidebar with Contacts & links). Where the ward has Signups on and you let them run it, a Signups tab joins them. They keep what the ward reads around the program, but never the program itself. They can:

  • add, edit and remove any announcement, for any group, and the standing info on the back of the program;
  • share an org editor's announcement with the whole ward when they ask, or decline it (so can the bishopric and the clerk; see sharing with the whole ward);
  • see whether an announcement is printed or read aloud;
  • choose each Sunday's Bulletin artwork, under Sundays;
  • fill in what a Sunday with no meeting tells the ward, once the bishopric has set it up that way: a stake conference's session times and places, or the General Conference message, and publish it;
  • print a Sunday's program once the bishopric publishes it, and copy, share or show the QR code for the ward's program link;
  • edit the ward's contacts, If you need something and ward links, under Contacts & links. A contact's name suggests people from the ward list as they type, or keeps any name typed.
  • see how many people open the ward's page, and how often, with Page views under More (at the foot of the sidebar on a wide screen). See how often the page is opened;
  • run missionary meals, if you let them. Their sign-in then says Also runs Signups. The same choice lets them run every sign-up list in the ward, for every organization.

On Sundays, each row says what's left, such as Published or Notice not published. The tab counts notices not yet published, and those Sundays come first under Needs you. Tap a Sunday for its Bulletin artwork and Print, or its notice and Publish notice. Program page at the top copies or shares the link, and QR shows its code. Sign out is behind their initials. Everything saves as you go, and nothing is sent to anyone.

They can't:

  • choose whether an announcement is read aloud. That stays with the bishopric and the clerk;
  • feature an announcement. Featured is the bishopric's alone;
  • change speakers, topics, the theme, hymns or other music, the conducting script, which kind of Sunday it is, or the program's blocks;
  • print or preview a program before it's published;
  • open the ward list (People), ward business, Callings, Assignments, meetings or appointments. The server refuses them. Contact names suggest from the ward list, but by name only;
  • see who is speaking or praying, or read the conducting script.

5. Org editor

For a leader in an organization, such as the Relief Society or Primary president. Their organization is their home: they land on its Assignments. Their other tabs are Callings, Bulletin, Activities, Signups, Rhythms and Programs, each only where the ward uses it and the bishopric gave their organization that tab (see which tabs each organization gets). Signups shows where the ward has it on. They change only their own groups' announcements.

An org editor who holds Primary also plans Primary's baptism programs on Programs, the way the ward mission leader plans Ward Mission's. They can also put a Primary baptism on the ward announcements: it shows under Primary right away, and the bishopric decides whether it goes to the whole ward. See planning baptisms.

When you invite an org editor, tick the organizations they speak for: Ward, Relief Society, Elders Quorum, Young Women, Young Men, Primary, Sunday School, Temple and Family History or Stake. At least one is needed. Ward Mission isn't on the list: the Ward mission leader role speaks for it.

Sunday School and Temple and Family History have no section of their own on the bulletin. An org editor who holds one of them posts announcements for the whole ward, under Ward, and can change only the ones they added. Only the bishopric, the clerk and the bulletin editor can change any announcement.

An org editor can:

  • add and edit announcements for the organizations you ticked (for the whole ward, if one of them has no section of its own);
  • once the bishopric turns on Programs for their organization, plan, publish and remove its programs, turn each one's Digital program on or off, and keep its own templates and saved blocks (see planning your organization's program and templates and saved blocks);
  • ask for one of theirs to be shared with the whole ward, and see the answer (see sharing with the whole ward);
  • read everyone else's announcements on the Bulletin, under Whole ward;
  • see the assignments given to their organization under Assignments, and the ones given to a person who serves in it, type who is doing one, write a note back to the bishopric, and mark it done;
  • where your ward has Callings, send the bishopric a request with Ask for a calling, for an organization they hold, and see under Callings how far along each one is (never who). The organization's president (or its leader, for Temple and Family History and Ward Mission) can turn on Keep this between me and the bishopric before sending: their counselors and secretary never see that request, and the bishopric sees it marked Sent discreetly. 1stHour knows who the president is from the calling on their sign-in in Who can sign in;
  • where your ward has Signups on, make and run sign-up lists for the organizations they hold (see sign-up lists);
  • where your ward has Activities, ask the bishopric about an activity before planning it, and read the joint ones another organization invited them to (see proposing an activity);
  • once the bishopric turns on Rhythms for their organization, keep its rhythms on a Rhythms tab, and read the ones it helps another organization or the bishopric with (see organizations keep their own);
  • with both turned on, plan this year's program from one of their own events (see a program for the event).

An org editor can't:

  • change another group's announcement, or move one onto a group that isn't theirs (Ward included, unless you ticked it: they ask instead);
  • see a calling request their president kept between them and the bishopric;
  • share or decline an ask, or see another organization's. The ward mission leader's baptism announcement that still waits for the bishopric isn't sent to them at all;
  • choose whether an announcement is read aloud;
  • see how often the ward's page is opened (Page views);
  • see Sundays and speakers, ward business, the ward list (People), Callings, other organizations' assignments, rhythms or programs, the bishopric's rhythms, meetings or appointments. The server never sends these to them. They see the names in the ward list, and nothing else about anyone, so they can name people in their programs.

To invite one, see letting organizations post their own.

6. Ward mission leader

For the ward mission leader, or whoever drafts baptism programs. The role also speaks for Ward Mission, the way an org editor speaks for their organization. An org editor who holds Primary plans baptisms the same way; everything below about baptism programs is true for them too. No other org editor plans baptisms.

Each baptism is either Primary's or Ward Mission's. The ward mission leader sees and works on Ward Mission's baptisms only, and a Primary org editor on Primary's only. The other one's baptisms never reach their phone. A baptism they start is their own organization's.

Where the ward has Signups on, the ward mission leader also runs missionary meals with the bishopric, and Ward Mission's sign-up lists, on a Signups tab. The clerk doesn't.

The bishopric and the clerk see every baptism. They choose whose it is when they plan one, under Whose baptism is it?, and can change it later in the baptism's details, under Whose baptism. Upcoming shows it beside each baptism's time. A baptism planned before 1stHour asked counts as Ward Mission's, so change it there if it's Primary's.

They land on Ward Mission's Assignments, with the same tabs an org editor has. Programs holds their baptisms, and any program Ward Mission plans of its own. They can:

  • start a baptism with Plan a baptism, and fill in its program, including where it's held;
  • set who presides and who conducts, and the music;
  • choose the hymns and who prays, add a block (an intermediate hymn, or a blank one they title themselves, such as a testimony), and move or remove blocks on this one program;
  • name speakers and others on it, choosing from the ward list or typing a guest's name;
  • choose who performs the baptism and the confirmation, from the ward list or as someone outside the ward;
  • remove a baptism program the bishopric hasn't published yet, with Remove this baptism at the foot of its page;
  • open the conducting script for their baptism with Conduct, and read it;
  • ask for a baptism to go on the ward announcements with Add to the ward announcements, before or after the bishopric publishes it. Ward Mission's waits for the bishopric and shows to nobody else until they share it. A Primary baptism's shows under Primary right away. It links to the baptism's program once that is published. See a baptism on the ward announcements;
  • ask the bishopric to set up the interviews for their baptism, with Ask the bishopric for interviews, see where each one stands, and Remind the bishopric while one waits for a time. See interviews for a baptism;
  • open Bulletin to add announcements for the whole ward, under Ward, and change the ones they added;
  • where your ward has Callings, send the bishopric a request from it with Ask for a calling for Ward Mission;
  • see the assignments given to Ward Mission under Assignments, and the ones given to a person who serves in it, type who is doing one, write a note back, and mark it done;
  • once the bishopric turns them on for Ward Mission, keep Ward Mission's rhythms on a Rhythms tab and plan its own programs on Programs, the way an org editor does. Each has its own switch;
  • see how many people open the ward's page, and how often: Ward page opens Page views (under More on a phone, in the sidebar under Members on a wide screen). See how often the page is opened.

They can't:

  • see or change the other organization's baptisms, or change whose a baptism is;
  • publish a baptism program, or remove one that's published. The bishopric or the clerk does that;
  • change a baptism program once the bishopric has published it. It opens read only, with a line saying to ask the bishopric;
  • change what the conductor reads. The script's wording is the bishopric's, so there is no Edit wording for them, and a block's wording shows but can't be edited;
  • see or choose who in the bishopric is asking a speaker;
  • book an interview, or see who holds it or at what time. They see only whether it is asked, scheduled (and the day), held or closed, the day it was last reminded, and the bishopric's note when it closes one;
  • add or remove a speaker slot on a baptism. The talks come with the program;
  • save a block from a baptism, or change the bishopric's templates. With Ward Mission's own tools turned on, they keep Ward Mission's program templates and saved blocks, as an org editor does;
  • change another organization's announcement;
  • see Sunday sacrament meetings, ward business, Callings, other organizations' assignments or Settings;
  • see anything about a person beyond their name: not when they last spoke or prayed, and no notes;
  • add anyone to the ward list. They can choose from the names already in it.

Note

Speaking or praying at a baptism isn't added to anyone's record in People, whoever plans it. A decline there isn't recorded either.

7. Musical director

For the ward music coordinator, or whoever plans the music.

A musical director's app is Music: the coming Sundays, one card each. For each Sunday they see the theme, who leads the music and who plays, the hymns, and the music between the talks, with where it falls (say, after the second speaker). They can:

  • pick the Music director and the Organist/Pianist, from the ward list or typed in;
  • choose each hymn;
  • fill in the music between the talks. They pick Musical number or Hymn, then its title, who performs it, who accompanies it and a note for the congregation, or the hymn. They can switch between the two at any time.

They can't:

  • turn the music between the talks off, or move it. The bishopric does that on the Sunday. The week the bishopric chooses None, the card says it's turned off and there's nothing to fill in;
  • add someone to the ward list;
  • see who is speaking, ward business, announcements, or anything else in 1stHour. The server sends them only the music, so the names of speakers never reach their phone.

Baptism programs don't show on Music.

8. Changing someone's role

SettingsYour wardWho can sign in

For someone who holds a position:

  1. Tap their position, then Adjust access.
  2. Choose the Role. For an Org editor, tick the organizations they post for. The position's own organization is listed first and stays ticked. Tap Show all organizations to see the rest.
  3. Press Done. ‹ Back leaves the role as it was.

Under Role it says From the calling while the access is what the position gives, and Changed from the usual role once you change it. Back on the sheet, their access says Adjusted.

For a sign-in under Other sign-ins, press Change role on its row, choose the New role, then Save role. Cancel leaves the role as it was.

Their calling, their link to People and their sign-in stay the same, and no new email is sent.

If they're already signed in, the change can take up to an hour to reach their phone. Until then, they keep what the old role could see.

The last Bishopric sign-in can't be given another role, so the ward is never left without one. Invite or change a second one first.

9. The bishop's schedule

Only the bishop and the executive secretary see the bishop's appointments and his bishop's list. It is decided by the calling on each Bishopric sign-in, and the server keeps the bishop's appointments from everyone else.

His counselors:

  • see the counselors' appointments on This week, To schedule, On the books and Coming due, but none of the bishop's, and no column for him;
  • see on Youth that a youth met, or will meet, the bishop (a BP chip), but never the day or time;
  • see a minutes line that made an appointment with the bishop as With the bishop, with no time and nothing to open;
  • can still book an appointment with the bishop. His booked times show as busy. Once it is saved it is on his schedule, so they no longer see it.

Opening one of the bishop's appointments by its link says Appointment not found.

The clerk sees no appointment at all, the counselors' or the bishop's. The server sends the clerk none of them, and refuses Appointments and its settings. A minutes line that made an appointment reads With the bishopric for the clerk, with no time and nothing to open.

10. The public page: no sign-in

The ward's link isn't a role. Anyone with it opens the program, the ward's home, Announcements (with the calendar), Sign-ups and Ward contacts without signing in, and can't change anything.

It shows only what you publish, and some things never reach it at all, such as names in ward business and speakers who haven't accepted. See what stays off the public page.

What 1stHour counts

Only counts, never who did what: how often the ward's page is opened and by how many visitors (Page views), what kind of device opens 1stHour, once a week, and the day each leader last used it. No cookies or trackers.
