The bishop's list

People the bishop wants to see, and when.

Where
Appointments → Bishop's list
Who
The bishop and the executive secretary

Bishop's list is a tab in Appointments for the people the bishop wants to meet with. Only the bishop and the executive secretary have it. Nobody else in the bishopric sees the tab, the people on it, or the bishop's appointments with them.

The list keeps who, how often and how long. The only words it holds are the one line the bishop can leave with a request to the executive secretary, and that line is deleted once they are booked or met.

1. Add someone

AppointmentsBishop's list

  1. Tap Add to the list.
  2. Under Who, search the ward and pick them. Someone already on the list isn't offered. Someone not in the ward list yet is added from there: tap + Add “name” to People.
  3. Under How often, pick Just once, As needed, Weekly, Every 2 weeks or Monthly.
  4. Under Length, pick 15 min, 30 min or 60 min.
  5. Leave Needs a time now on to put them under Needs a time straight away, or turn it off to just keep them on the list. It starts on for everything but As needed.
  6. If the ward has an executive secretary, a box opens under the switch for one optional line for him, such as "bring his parents". When he adds someone himself, it reads Anything the bishop mentioned for this?. Leave it empty if there's nothing to add.
  7. Tap Add.

With Needs a time now on and an executive secretary in the ward, adding someone also sends him a request, the same as Request a time. When he adds someone himself, it goes on his own assignments and nobody is told.

The executive secretary counts once he has been invited to sign in, even before he first does: the request waits on his assignments until he signs in.

You can also add someone from their card in the ward list (People): tap Add to bishop's list. If they are on it already, the card says On the bishop's list and opens them there.

Adding someone sends nothing to anyone.

2. Read the list

The list has three parts. 1stHour works out who goes where from the bishop's appointments.

Needs a time
Someone with Needs a time now still on, someone on a schedule who is due or overdue, or someone who was sent times and hasn't booked. The tab's count is how many are here.
Booked
Someone with an appointment ahead with the bishop, with its day and time.
On the list
Everyone else: people on a schedule who aren't due yet, and everyone As needed.

How often decides when someone comes due:

Just once
Off the list once they've met with the bishop from it.
As needed
Stays on the list with no due date.
Weekly, Every 2 weeks, Monthly
Due that long after their last meeting with the bishop. Someone who hasn't met yet comes due one turn after they were added.

Any meeting with the bishop counts as their last meeting, booked from the list or not, once it has happened: marked done, or its time gone by.

3. Book a time

  1. Tap Schedule on their row.
  2. Tap Send times to send them a link with a few times to pick from, or Pick a time to book one yourself.

Both open the usual booking sheet, always with the bishop: there is no one else to pick. It starts on Ministering / general; change the type if another fits. With Send times, the first open time on each of the next three days that have one, from two days out, starts checked; change any before you send. Once booked, they move to Booked. Sending times opens a message with their link in it, to send from your phone; see appointments messages.

After times are sent, their row reads Times sent and the day. It reads no reply in red, with Resend to send the times again, once three days pass with no booking. It reads that straight away if the link ran out, they tapped None of these work, or every time was taken. A request on the executive secretary's assignments says the same, so he can see who hasn't answered without opening the list.

If they already met, in the hall or after church, tap Schedule, then Mark as held, and set the day. Nothing goes on a calendar and nothing is sent.

When they booked it themselves

Someone on the list may book a time with the bishop on the open sign-up page, or be booked from To schedule. Their row then reads Has an appointment with the day and time, and not linked.

  1. Tap Link it on their row, or open them and tap Link it there.

The appointment now counts for the list. They move to Booked, and any request to the executive secretary closes. Once the time has passed, it counts as their meeting from the list, so a Just once comes off without anyone marking it held. Nothing is sent, and the appointment itself does not change.

A Just once who already met the bishop that way reads Met with the day and not linked. Link it takes them off the list.

Only an appointment with the bishop is offered, and only once the sign-up has been matched to someone in the ward.

4. Have the executive secretary book someone

The bishop can have the executive secretary get someone a time, with one line of instruction if he wants. Only the bishop sends a request; the executive secretary books.

  1. Under On the list, tap Request a time on their row. It's also at the top of their sheet.
  2. Under Anything Bro. Hale should know? (it names your executive secretary), type one line, or leave it empty.
  3. Tap Send request.

The bishop can also send one while adding an assignment: see a time with someone, from Assignments. There he can ask again for someone already in Needs a time, once a day. It reminds the executive secretary and notifies him again; a blank line keeps the last one.

They move to Needs a time, and the row says who sent it and when, with the line under it. The executive secretary gets it as an assignment of his own, and a notification that says only that the bishop wants a time with someone. Neither the name nor the line is ever in the notification.

The request and its line are seen by the bishop and the executive secretary alone. Counselors and the ward clerk never see it, on this list or among the assignments.

Either of them can book it. The request closes itself, and its line is deleted, when:

  • a time is picked, by either of them or by the person from the times sent,
  • it is marked as held, or
  • the person is taken off the list.

While times are sent and not taken, the request stays open and the line stays. A request can't be changed once sent. To call one off, take the person off the list.

5. Someone's sheet

Tap anywhere on a row except its button to open that person:

  • Where they stand, with what to do next: Schedule now, Resend and Pick a time, or Reschedule and Cancel for one that is booked.
  • Once times are sent, the times they can pick from and the link, with Copy to send it again however you reach them.
  • With the bishop: every meeting they have had with him, newest first, with its day and length, and how many this year. Only dates and lengths are kept.
  • Change how often or length. Who can't change.
  • Take off the list.

6. A meeting that didn't happen

When someone didn't come, or a meeting was cancelled and never taken off, take it off so the list knows they still need a time.

  1. Open their sheet.
  2. Under With the bishop, tap Didn't happen beside the meeting.

Heads up

1stHour asks first. Take it off removes that appointment for good and takes its event off Google without telling anyone. It can't be undone.

They go to Needs a time straight away, whatever How often says.

7. Still meeting?

Someone As needed who hasn't met with the bishop for two months is flagged in red with Still meeting? at the top of On the list. Their sheet asks whether the bishop still wants to meet with them:

  • Schedule books a time.
  • Ask again later clears the flag until the same length of time passes again.

How long it waits is a setting for the bishop and the executive secretary.

SettingsAppointments“Still meeting?” on the bishop’s list

Pick 1, 2, 3 or 6 months without a meeting. It changes both when the flag shows and how long Ask again later waits. It saves as you pick.

8. Take someone off

  1. Open their sheet and tap Take off the list.
  2. If nothing is booked, they come off straight away. Tap Undo in the message at the bottom to put them back as they were.
  3. If they are booked, choose Keep the appointment to leave it on the books, or Cancel it too to cancel it the usual way, then tap Take off.

Taking someone off never removes their past meetings.

The list belongs to the ward, not to one bishop. When a new bishop is called, he has the same list.

9. Who sees the bishop's schedule

Only the bishop and the executive secretary see the bishop's appointments, from this list or not, and the requests between them. His counselors see each other's appointments, but none of the bishop's. The ward clerk sees no appointments at all. See who can see what.
