Make a sign-up list

Spots for people to take, a link to share, and the names in one place.

Where
Signups

A sign-up list is a page of spots members take. Each spot says how many people it needs, and sometimes a day and time. Members open the list from a link or the ward's program page, type their name, and tap the spots they'll take. They get a calendar event with a reminder.

Lists live in Signups, beside missionary meals, and need Signups switched on in Settings. Turning Signups off hides the lists and their links too.

Who runs lists:

  • The bishopric makes and changes every list.
  • A Bulletin editor who was let run Signups also runs every list.
  • An organization's leaders who sign in as an Org editor make and change their own organization's lists, until the bishopric takes Signups away from that organization in Organization tools. A list already shared keeps its link, and the bishopric can still change it.
  • The Ward mission leader runs the Ward Mission lists.
  • The Ward clerk doesn't run sign-up lists.

The roles guide has the rest of what each role sees.

Heads up

1stHour keeps only names. A member gives a name, and a short note when you ask for one. There is no phone number, no email and no account. Nobody is emailed or texted. The reminder comes from the member's own calendar.

1. Choose the kind of list

Every list is one of three kinds. You choose it with the switch at the top of What people sign up for on the form.

Event
One day, like a chili cook-off or a ward dinner. Spots are what people bring or do: Chili, Cornbread, Clean-up crew. Each spot says how many are needed.
Calendar
The same job on many days, like a building check every night. Members pick days off a month, the way they pick a missionary dinner night.
Shifts
A few set times, each on its own day, like two Saturdays of temple cleaning. Each shift has its times and how many people it needs.

Switching the kind keeps what you typed for each one until you make the list. Only the kind showing is saved. Once someone has signed up, the kind can't change.

2. Make the list

SignupsNew sign-up list

  1. Open Signups and tap New sign-up list.
  2. Type a title, and the details if you like.
  3. Under What people sign up for, choose Event, Calendar or Shifts.
  4. Fill in what that kind asks:
    • Event: the day, and the time if you like. Name the first spot and say how many are needed. Tap + Add a spot for each one more.
    • Calendar: the job and how many people a day, which days of the week, and the time if you like.
    • Shifts: tap + Add a shift, fill in its day, times and how many people, and tap Done. Copy the last one makes the same times a week later.
  5. Add what you need with the + buttons: + Location (a saved place, or type one), + Contact (a name and one phone or email members can use), + Ask one more thing.
  6. Check the rows under them (below), and tap Change on any you want different.
  7. Tap Preview to see the page as members will, then Make the list.

If something is missing, the form says what to fix under each field, and the first one takes the cursor.

Run by
The organization the list belongs to. Its leaders who sign in to 1stHour can see and change it. The bishopric always can.
Members see
Names: the page shows the names under each spot, so two people don't bring the same thing. Only how many are filled: it shows counts. You always see the names.
Reminder
A week before, the day before, both, or neither. It goes in the event members add to their calendar.
Closes
The last day members can sign up. An event closes after its day unless you pick another; a calendar runs every month until you end it, or until a date; shifts close after the last one.
Ask one more thing
One short line for each spot someone takes, like "What are you bringing?" It's optional for them.
On the program page
Members find the list under Sign-ups on the ward's program page. Off, only people with the link find it.
Months open ahead
On a calendar list that runs every month, how far ahead members can pick days: This month, And next (the usual) or Three months.

Heads up

Public. With Names on, anyone with the list's link sees each name and the note that person typed, without signing in. With On the program page on too, that is anyone who opens the ward's public home. With Only how many are filled, the page shows counts only, and names and notes stay with the leaders who run the list.

3. Share it

Signupsyour list

  1. Open the list from Signups.
  2. To check the page first, tap the globe (As members see it). It opens in a new tab.
  3. Tap the share button beside it and send the link the way your ward usually hears from you.

The printer beside them prints the list. If you turned on On the program page, members also find the list there.

4. See who signed up

Signupsyour list

Each spot shows its names in the order people signed up, with their note and the day they signed up. A calendar list shows the month; tap a day to see who has it, or switch to the list to see each day ahead with its names.

  • To add someone who asked you in person, tap Add someone under the spot. They show as Added by a leader.
  • To take a name off, see take someone off a list.
  • To take one day off a calendar list (a holiday, stake conference), tap the day and choose Take this day off.
  • To print it, tap the printer. A calendar list prints as a calendar, a month a page with the names on each day, or as a list; choose Calendar or List at the top.

5. Take someone off a list

Signupsyour list

  1. Tap the X beside the name. It asks first, naming the person and the spot.
  2. Tap Take them off.

The spot opens for someone else. Nobody is told: nothing is sent to the person you took off, and their calendar event stays on their calendar. Let them know yourself, so they don't come.

6. What members do

Members open the link, tap the spots they'll take, and tap Sign up. They type their name, and a note for each spot when you asked one. Then they see:

  • what they took, with Add to calendar for Apple Calendar, Google Calendar or Outlook;
  • their own link to change or cancel. It's in the calendar event too, and the phone remembers it.

The event comes with a reminder. Google Calendar may use your own default reminder instead.

To change their name, a member removes a spot with their link and signs up again.

7. Pause it, end it, and when it's deleted

Signupsyour list

Pause sign-ups
Members see a short note instead of the spots. Names already on the list stay. Tap Resume to open it again.
End it now
The list closes today, for good: members see that the sign-up has closed, and it moves under Closed on Signups for its last week. To stop for a while instead, pause it.
Make a new link
The old link stops working: anyone who opens it is told the link is no longer valid, with a button to the ward's page. The program page moves to the new link. Share the new one. Members already signed up keep their own change link.

Heads up

Delete this list removes a list made by mistake, and every name on it, now. Its link stops working. It can't be undone. Anyone signed up keeps the event on their calendar, and nobody is told.

A list closes the day after it runs until. For a week after that you can still read it on Signups, greyed, under Closed. Then the list and every name on it are deleted. Nothing is kept.
