Guides / Getting set up
Set up your ward
Getting your ward set up after your first Sunday.
- Where
- Settings
- Time
- 15 min
You don't need any of this to plan and publish a Sunday. Do that first (your first Sunday). This page is the rest: what your ward sees on its program, who else can sign in, and which parts of 1stHour you use.
It all lives in Settings (the last row on Today, or Settings in the sidebar on a computer). Each row shows what is set now. Changes save as you go, so none of it has to be done in one sitting.
Do these first. Each takes a few minutes:
- your meeting time and time zone
- your ward contacts
- who else can sign in
These can wait until you're ready: the ward list, who holds what in Callings, and switching off parts you don't use.
Nothing here emails or messages anyone in your ward, except the invitation when you invite someone.
First Plan your first Sunday
1. Your ward's information
SettingsYour wardWard details
- Ward or Branch changes only the wording, so a branch reads "branch" and "branch president" everywhere.
- How presidents are named: President names each organization's president "President" wherever 1stHour names them, such as "President Sarah Bowles". Brother or Sister names them as everyone else is named. The bishop is always "Bishop". See Who holds what.
- Ward name and Unit number.
- Time zone: choose the one where your ward meets. It decides when "today" turns over, so which Sunday the program shows and when things count as overdue.
Note
If your ward has no time zone yet, the list shows Choose a time zone and dates follow Pacific time until you pick one. The button under it names your phone's time zone: tap it to use that one. Appointments can't connect to Google Calendar until the ward has a time zone.
Saved places, further down the same page, are the buildings your ward announces events at, like your own building or the stake center. Tap + Add a place, then enter a name such as "Stake Center" and, if you like, its address. Add up to 8. Every box that asks where something is then lists them to tap instead of typing the address: an announcement's + Location, a baptism's or a program's Where, a rhythm's Place, an activity's Where. A bishopric member or the clerk can save a new one from any of those boxes too. Remove takes a place off the list; anything that already uses it keeps its location as written.
To name the rooms inside a building, tap + Add a room under it and type one, such as "Relief Society room". Each room is listed under its building, and picking it fills in the room, the building and its address: "Relief Society room, Maple Ridge building (220 Alder St)". Where a box is too short for all of it, the address is left off.
Settings → Sacrament meeting → Meeting time and link holds two things:
- Meeting time shows next to the date at the top of the phone program and on the printed cover. It's the time you gave when you set up the ward; change it here if it moves.
- Virtual meeting link (optional) puts a Join the meeting button on the phone program.
Ward page → Announcements picks the view members see first on the ward's public Announcements page: Announcements opens on List or Month. They can still switch. On the same page, the bishopric can turn on Publish a calendar feed so members can subscribe to the ward's calendar from Announcements.
2. Your ward contacts and links
Ward pageWard contacts
It holds three lists, in the order they print. Members see each one on Ward contacts, from the ward's public home. Tap a row to change it on its own page, or Add beside a list for a new one.
Contacts are the people members can reach. They also print on every program.
- Tap + Executive secretary, + Elders Quorum president or + Relief Society president to add that contact. If someone signs in with that calling, their name fills in.
- Tap Add beside Contacts for anyone else. Pick the person from the ward list and their Calling fills itself in when you've recorded who holds it in Callings.
- Add a phone number: on the phone program, that gives the contact call and text buttons. A contact without one says Add phone. For a landline, turn off Takes a text, and members are offered a call alone.
The bishopric is listed on its own, above the other ward leaders.
If you need something answers everyday questions: who to ask for a building key, say, or for help with a move. Add one for each, up to six. Add a Phone or Email too if you like: anyone with the link to your ward's page can then call, text or email them from it.
Links are your ward's groups: a WhatsApp group, a Facebook group, the ward email list. Members can tap one, or scan its QR code from the next pew, and the links print on the back of the program.
To change the order, drag a row by its grip, or open it and tap Move up or Move down. Remove from the bulletin, on a row's page, takes it off.
Heads up
A link needs both a label and a working address before it's kept. A contact needs a name or a calling. One that's still missing them is dropped when you close its page.
3. Who can sign in
SettingsYour wardWho can sign in
The page lists your ward's positions by organization: the bishopric, each presidency and the ward callings. The bishopric starts open. Every other organization shows how many of its positions are filled and how many sign in; tap it to open it. Each position says who holds it and how they sign in. The bishopric and the ward clerk can invite or remove people. Only the bishopric can give someone the Bishopric role, or change or remove a Bishopric sign-in.
To let someone sign in:
- Tap their position.
- If nobody holds it yet, pick them under Who holds it. Add Since if you know it.
- Under Sign-in, tap Invite to sign in and enter their email. Below it, 1stHour shows the access their calling gives, such as Org editor · Primary for the Primary president, or Musical director for the ward's Music coordinator.
- Press Save and invite.
To only name who holds it, press Save without tapping Invite to sign in, or tap Don't invite. You can invite them later from the same place.
To give them something other than what the calling gives, tap Adjust access before you save (changing a role).
For a job that isn't listed, such as a bulletin specialist, tap Add a position. Choose its organization, type its title and press Add it. The new position opens next, for steps 2 to 4.
1stHour emails them an invitation. It comes from your ward's name with "via 1stHour" after it, such as Maple Grove Ward via 1stHour. They sign in with that email address and a code it sends them, so there's no password to hand out. Their position then says Invited, and Signs in once they have. Its sheet shows their email, when the invitation went or when they were last active, and their access, with Remove and Adjust access.
An invitation lets them sign in for two weeks. After that, their position says Invitation expired, and signing in tells them to ask you to send it again. To send it again, tap their position and then Send it again. A row under Other sign-ins has its own Send it again. A new email goes out, and the time starts over from today. Only the bishopric can send a Bishopric invitation again.
To name someone else in a position, tap it, then Change under Who holds it. Saving removes the old holder's sign-in, and the sheet says so before you save. Their sign-in stays if they still hold another position, or if it's a Bishopric sign-in and you're the clerk. They stay in People either way.
Someone who signs in with a position's calling, such as "Primary president", fills that position without you naming them. A sign-in that holds no position is listed under Other sign-ins.
Young Men lists the priests, teachers and deacons quorum advisers rather than a presidency, since the bishopric is the Young Men presidency.
A position you added yourself gives no access by itself. After Invite to sign in, tap Choose access and pick a Role, and for an Org editor the organizations they post for, before you press Save and invite. A Bulletin editor can also run missionary meals, while the ward has Signups on.
If an email went in mistyped, press Remove on that row and invite them again with the right address, so a new invitation goes out. A row still marked Invited can always be removed. If 1stHour can't remove someone, it says why on their row. For someone who already signs in, see change someone's sign-in email.
Setting up the ward only adds the bishop, the counselors and the executive secretary, and whoever set it up. Invite the clerk and everyone else here.
Choose the role by what the person needs to do. Bishopric and Ward clerk plan with you; the other roles each get one job, such as the Bulletin or the music, and nothing else. For what each role can see and do, and which to choose, see who can see what.
Each sign-in is linked to one person in the ward list (People), the one who holds the position, so their name on a program and their sign-in are one person. If a sign-in says Needs someone in People, see sign-ins and People.
4. Switch off what you don't use
Parts of 1stHour you can switch on or off are called modules in Settings. Settings lists them under Sunday, Members and Ward calendar, with Meetings first. Each module's switch sits on its own heading in Settings. A module that is off says Off beside its name.
- Always on: Sacrament meeting (with ward business and the bulletin) and Assignments.
- On to start, and can be switched off: Meetings (the bishopric meeting and any others you add), Callings, Appointments, Rhythms and Activities.
- Off to start: Signups (missionary meals and sign-up lists). Switch it on when you want it.
Some wards don't have every module yet. A module your ward doesn't have isn't in Settings at all. In a ward trying the Assistant, its heading has a switch too (see turning the Assistant on).
A module switched off keeps only its switch in Settings and disappears from every other screen. Nothing is deleted: switch it back on and everything is where you left it. Only the bishopric can switch a module on or off; the clerk sees which ones are on.
Starting small is fine. Many bishoprics begin with just sacrament meeting and add the rest one at a time.
5. Your ward list
The ward list (People) is who 1stHour offers when you fill a speaker slot, a prayer or a contact. The speaker picker shows who has waited longest to speak, so the list is worth building, but it can grow a little at a time.
It starts with the leaders you named when you set up the ward. It grows each time you choose + Add "…" to the ward list for a new name in a speaker slot. To add everyone at once, use People → Import a list.
See People for importing, adding one person, and marking youth.
6. Who holds what
SettingsYour wardWho can sign in
Who can sign in lists every presidency, the bishopric and the ward callings, and who holds each one. You fill it in once. It's there whether or not your ward uses Callings, and if it does, every call you finish in 1stHour updates it.
- Tap an organization to open it, then tap a position.
- Under Who holds it, pick whoever already serves in it and press Save.
- If a position isn't listed, use Add a position.
A position nobody has named fills itself from whoever signs in with its calling, such as "Bishop" or "Primary president".
Who holds what also decides how people are named. The bishop reads "Bishop Alden Marsh" and each organization's president "President Sarah Bowles" on the program, the conducting script, the planner and assignments. Everyone else reads "Brother" or "Sister". A Sunday names people as the positions stood that day, so an old program keeps the bishop it had. Releases and sustainings read "Brother" and "Sister", and a name you typed by hand stays as you typed it.
Heads up
This ward doesn't use this calling, at the foot of a position's sheet, asks first, then hides the position. Nothing is deleted, but for now it can't be brought back, so hide it only if you're sure.
7. The first Sunday guide
Until your first Sunday is published, Today shows one thing: Let’s get your first Sunday ready, a short guide through the planner with four steps: conducting and music, speakers, hymns, ward contacts. Each line ticks itself off from what's filled in. How it goes is in your first Sunday.
Finish later on the guide's bar pauses it, and Today then offers Continue: and the step. Publishing a Sunday ends the guide for good; Today goes back to its usual cards. If the ward contacts were skipped, the Sunday card keeps one line, Last step: ward contacts for the back cover · Add, until they're in.
When your ward has the Assistant on, it can also fill in much of the rest from the program you print now (see starting from your printed program).
Change someone's sign-in email
SettingsYour wardWho can sign in
When someone gets a new email address, change it here. They stay the same person in 1stHour, so their role, their assignments and everything else they own stay theirs.
- Tap their position. For a sign-in under Other sign-ins, find its row instead.
- Beside Sign-in email, press Change email.
- Type the address under New email.
- Press Save email.
Heads up
They are signed out on every phone and computer. The old address no longer signs in to your ward. They sign in next with the new address and a code sent to it.
No email is sent when you save, so tell them which address to use.
If another sign-in in your ward already uses that address, 1stHour says so and changes nothing. Only the bishopric can change the email on a Bishopric sign-in.
Which tabs each organization gets
SettingsYour wardOrganization tools
The bishopric chooses which tabs an organization's leaders get: its org editors, and the ward mission leader for Ward Mission. Each tab has a card, and an open card shows only the organizations that have it.
- Open Settings, then Organization tools under Your ward.
- Tap a card to open it, such as Bulletin.
- To take the tab away from an organization, tap its name. The tap saves.
- To give it to another, tap Add an organization and choose one. It shows on the card.
Rhythms and Programs start with no organizations. Bulletin, Activities, Callings and Signups start with every one. Signups is their own sign-up lists, and for Ward Mission, missionary meals too. Its tab shows only while your ward has Signups turned on. An org editor who holds several organizations keeps a tab while any of them has it, and uses it only for those.
- Taken away
- The tab is gone, and 1stHour refuses its work for that organization, not just hides it. Nothing they made is deleted, and the bulletin still shows in their programs and on the ward's page. Without Bulletin, an organization can still put its own baptism on the announcements from the baptism's page, and change it or take back the ask there.
- Given back
- The tab is back, with everything as it was.
Only the bishopric changes these, and the bishopric and the clerk are never held back by them. Nothing is sent to anyone when they change.
Staying signed in
Once you sign in with a code, that phone or computer stays signed in. Open 1stHour at least once every 30 days and you won't need another code for about three months.
To sign out:
- Bishopric and ward clerk: open Settings and press Sign out under your name.
- Organization leaders and the bulletin editor: tap your initials at the top, then Sign out. On a computer, it's at the foot of the sidebar.
- Musical director: tap your initials at the top of the Music page, then Sign out.
That phone or computer then needs a new code to get back in. If a code doesn't come or your sign-in ran out, see fix sign-in problems.
If you're in the bishopric or the clerk and signed in on another phone or computer too, the card with Sign out in Settings says so, for example Also signed in on 2 other devices. Press Sign out others to sign them all out, such as after losing a phone or using a computer at the church. The one you're using stays signed in.
Send feedback to 1stHour
Tell the people who make 1stHour about a problem, an idea or a question. Anyone who signs in can send one.
- Open Send feedback:
- Bishopric and ward clerk: open Settings and tap Send feedback at the bottom.
- Organization leaders and the bulletin editor: tap your initials at the top, then Send feedback.
- Musical director: tap Send feedback at the bottom of the Music page.
- If you like, choose what it is: A problem, An idea or Something else.
- Type your note under Your note.
- Press Send.
Note
Your note is emailed to 1stHour support with your name and email, so we can write back. Your ward, your role, the screen you were on, the app's version and your browser go with it. Nothing goes to anyone in your ward.
A short message says it was sent. You can send up to 5 notes an hour. After that, wait a while or write to support@1sthour.app.
Where the rest of Settings lives
None of these are needed to start. Come back when a question comes up.
Your Sunday program
- Settings → Sacrament meeting → Meeting templates and Block library: the programs new Sundays start from, and the pieces they're built from. New wording in a template also reaches the coming Sundays that use it, even ones with speakers already in. A part you reworded on one Sunday keeps that Sunday's words. A published Sunday that hasn't come yet takes the new wording too, on its phone and printed program as well as in the conductor's script. Open a template and type a Description to change the line under its name when you pick one for a Sunday. Leave it blank for the line 1stHour gives it. The whole job is in shape your Sunday programs.
- Which words a Sunday reads. Open a part on a Sunday to see whose words it has. Words from the … template means a change to its words there is for that Sunday only. This Sunday’s own words means template changes no longer reach it. Both offer Change it on the template, and Use the template’s words again puts a reworded part back on the template's words.
- A hymn's line. Under What you’ll read, the field opens on the sentence 1stHour reads, with the hymn as blanks such as Hymn number. Change a word or two and leave the rest. Reset to the usual wording puts the sentence back. A template reads its line with a sample hymn, because each Sunday picks its own.
- The broadcast pause. The sacrament hymn's line starts with the Broadcast pause blank. It reads “At this time, we’ll pause our broadcast.” when your ward has a Virtual meeting link (your ward's information), and nothing when it has none.
- Settings → Sacrament meeting → Conducting script: the Welcome line every Sunday opens with, in place of a welcome in each template. A Sunday can still have its own welcome for one week: open its Welcome & visitors block and press Write this Sunday’s own welcome. The page also says how speakers and the music between them are introduced. All together, where every ward starts, reads the rest of the program once after the sacrament as a list under "Our program will be as follows:": each speaker, the music between them, the closing hymn and the benediction. The closing hymn and benediction then show as reminders marked Announced with the program. One at a time introduces each speaker as their turn comes, in your own speaker line or, left blank, a sentence such as "Our final speaker will be …". Both are chosen under Introducing each speaker, where Read aloud shows the choice for a sample Sunday with three speakers. Each has a line for A speaker, A youth speaker and The last speaker, and All together an Opening line too. Under Ward and stake business, Stake first or Ward first sets which is read first on a Sunday whose stake business is on. Only the bishopric changes this page; the ward clerk reads it.
- Settings → Sacrament meeting → Business types & wording: see ward business.
People
- Settings → Your ward → What you track on people: dates you keep beyond talks and prayers, and what makes someone Due. See track something else.
- Settings → Your ward → Paths: the welcome for a household that moved in, and your ward's other paths (a new member, a new young man), each a list of steps. See walk alongside someone.
- Settings → Your ward → Message templates (bishopric only): the words Message fills in for a speaker or a recommend renewal, the ward's sign-up link, and the renewal schedule. See send a message.
Meetings and appointments
- Settings → Meetings → Meeting types, When you meet and Agenda: see the bishopric meeting.
- Settings → Appointments → Appointment types, and for the bishop and executive secretary, Interviewers' availability.
- Settings → Just you → When I'm available and Google Calendar: your own appointment windows and calendar. They change only your account.
Getting help
- The version at the very bottom of Settings, under your name and Sign out, says which release of 1stHour you have. Include it when you write to support.
