The Assistant

What it drafts, and what you decide.

Where
Settings → Assistant

The Assistant saves you typing. It can fill in a bulletin item from a message or a flyer, find actions the minutes mention that nobody made yet, set up your meeting template from the program you print now, and answer "How do I…" questions about 1stHour.

Everything it gives you is a draft. You check it, change what's wrong and decide what to keep. Nothing saves, sends or publishes until you tap. It works only from what you give it, so it can misread a date or a name, and it can't check anything against the real world. That part is yours.

A few wards are trying it now. If yours is one, Settings has an Assistant group.

1. Turn it on

Only the bishopric can turn the Assistant on or off. The clerk and others use it once it's on.

  1. Open Settings. In the Assistant group, flip the switch on its header. Or open Settings → Assistant and flip Use the assistant.
  2. Before you turn it on lists five promises about how it treats your ward. Read them.
  3. Tap Turn it on for your ward. Not now leaves it off.

Once it's on, Settings → Assistant shows who turned it on and when. Under Where it can help there's a switch for each thing it does. Switch one off and it disappears for everyone. What it never reads lists what it can't reach: appointments, callings under consideration, why someone declined, and notes on people.

To turn it off, flip the same switch. Every Assistant button is hidden for everyone, and the log of past requests is kept. Anything you already made with its help stays.

Heads up

Turn off and erase the log turns it off and also deletes the whole log of past requests. You can turn it back on later, but the log starts empty.

2. Fill in a bulletin item for me

Paste a message, or upload a flyer, and the Assistant fills in a new bulletin item for you to check. The bishopric, the clerk and bulletin editors see it.

  1. Open a New bulletin item sheet: Add an announcement on Bulletin, or the Add chip under Announcements on a Sunday.
  2. Tap Fill this in for me, the card above the title.
  3. Choose Paste text and paste the message or the flyer's words. Or choose Upload a file: a PDF, a Word file or a photo, up to 4 MB.

Heads up

Whatever you paste or upload is read by AI, names and phone numbers included. The sheet says so every time. Delete anything you'd rather not share before the next step.

  1. Tap Fill it in. Nothing is sent until you do.

The form fills in: the title, details, date and time, location, contact, and a weekly or monthly repeat when the message has one. Each filled field has a dashed edge and a Suggested · Keep tag, and a banner above says how many fields are suggested. See what to check before you add it.

  • Tap Keep on a field to accept that one. Changing a field accepts it too.
  • Accept all accepts every suggested field at once.
  • Undo puts every suggested field back the way it was.
  • Add to program adds the item with whatever the fields hold, suggested or not.

If you uploaded a PDF or a photo, the form also asks Add it as the flyer? Tap Add as flyer and the same file becomes the item's flyer or picture, every page of a PDF. It shows as suggested like the other fields, and Undo takes it off too. Tap Not now to leave it off. Nothing is uploaded unless you tap Add as flyer.

Until you tap Add to program, nothing is on the bulletin. It fills a new item only. To change an item you already added, edit it by hand.

3. Find missed actions in the minutes

The Assistant can read a meeting's minutes and list the actions they mention that nobody made yet. The bishopric and the clerk see it.

  1. Open the minutes and tap Read on the Write and Read switch at the top. A held meeting opens on Read already, but you don't need to mark it held first. Find missed actions isn't there while you're on Write.
  2. Under the minutes, tap Find missed actions.
  3. Here's what will be sent shows the exact text. Names from People are swapped for placeholders like Person A. If it spots a word that might be a name, tap Swap to swap it too. Lines that already became actions are left out.
  4. Tap Send. Cancel sends nothing.

If you tick Don't show this for minutes again, the next Find missed actions sends straight away, without the preview.

Back comes a list: assignments, topics for the next meeting, and any calling or appointment the minutes record. Each is marked Suggested. Nothing is made yet.

  1. Check each one (see Check its drafts). Each one that's ready is ticked. Untick the ones you don't want.
  2. Tap Make (it shows how many). They're created the same way as with + action.

Dismiss makes nothing. Something that's already taken care of, like a calling already moving in Callings, shows as Already handled with a note.

4. Check its drafts

The Assistant reads only the words you gave it. It can misread a date, pick up the wrong person or miss a detail. Before you keep anything, check:

  • the names, and that each is the right person in the ward list (People);
  • dates, times and places;
  • that it says what you meant, in words you'd want others to read.

Calling and appointment drafts. These come back only when the minutes write them down as decided. The Assistant turns what was written into a draft. It never suggests who to call or who needs an appointment.

  • "Sister Kaur to be called as nursery leader" comes back as Propose a name on the open position, so she's added as a name under consideration. You settle on one in Callings, as always. A release comes back as Start a release. The bishopric and the clerk get these, only while Callings is on.
  • Someone to meet with a leader comes back with the leader the minutes name (or you) and your ward's first appointment type. Check the type. Only while Appointments is on.

Change a draft. Tap Edit. It opens the same form as + action, so every field can change. Done keeps your changes and Cancel drops them.

If no open position matches, or the person isn't in People, the draft waits unticked and says Choose the calling. Tap Edit. Pick one there, or start A new calling. A draft that's missing something else says Needs a detail. Tap Edit.

5. Ask Help how to use 1stHour

Tap Help to ask how to do something in 1stHour. On a phone it's at the top of the page. On a wider screen it's in the side rail. The bishopric and the clerk see it on every page except the conducting script. It's also at Settings → Assistant → How do I…. Other roles, and a ward without the Assistant, don't get this Help. Every role has a Help that opens the same guides in a new tab, and they're at 1sthour.app/guides (see where Help is).

  1. Type your question under How do I… and tap Ask.
  2. The answer comes from these help guides and nothing else. You get numbered steps and the guide it came from.
  3. Take me to opens the page the steps start on. If it's a Settings page you can't open, it takes you to Settings instead.
  4. Read the help page opens the guide section it answered from.

If the guides don't cover it, Help says so and links to Browse the guides.

Your question is sent to AI with the matching help guides, and with names from People swapped out. Nothing about your ward is sent.

6. Did this help?

Under each Help answer, tap Yes or No. It says Thanks for saying.

Your answer is kept with that question on What was sent, so the bishopric can see which answers helped. Only the person who asked can answer it.

7. Optional: start from your printed program

SettingsAssistantStart from your printed program

You don't need this. Set up by hand is always there instead. But if your ward already prints a program, the Assistant can set up your meeting template from it. The bishopric and the clerk can use it, and can start it from here any time.

Heads up

The whole file is read by AI, including this week's speakers, prayers and the contacts on the back. Choosing the file only holds it on your phone. It goes when you tap Send it.

  1. Tap Choose a file and pick last Sunday's program. Word or PDF works best; a photo works too. Nothing is sent yet.
  2. Tap Send it. The whole file goes to the AI to be read.
  3. Here's what we found lists what it can set up: Your program order (See the blocks lists them), Meeting time, Standing info and Ward contacts. Nothing is saved yet.
  4. Tick what you want. Ward contacts start unticked, because they go on your public program page.

Heads up

Standing info goes on your public program too, for anyone with the link, and on the printed program. Each notice is added to the Bulletin with no end date, so it stays until you remove it. One tick covers all the notices it found: untick Standing info if any of them shouldn't be public, or remove that one from the Bulletin afterwards.

  1. Tap Set up (it shows how many). Start over tries another file.

Your program order replaces the order in your standard Sunday template, and Meeting time replaces the time set now. Each piece goes where it lives, so you can change it there later: Meeting templates, Meeting time, Ward contacts and the Bulletin. This week's speakers, prayers, hymns and business are left behind.

8. What gets sent, and what was sent

Nothing leaves 1stHour until you tap. Each request goes to one AI provider, which has agreed to keep nothing once it answers and never to train on what it reads. Settings → Assistant → How we handle your data says the same, with the five promises.

What goes, and when:

Filling in a bulletin item
The text you paste, or the file you choose, whole, names and phone numbers included. It goes when you tap Fill it in.
Finding missed actions
The minutes you see on Here's what will be sent, with names from People swapped for placeholders and phone numbers and emails taken out. It goes when you tap Send.
Starting from your printed program
The file you choose, whole. It goes when you tap Send it, not when you choose it.
Help
Your question, with names from People swapped out, and the help guides. Nothing about your ward. It goes when you tap Ask.

An uploaded file is deleted as soon as it's read, and within two days at most. Pasted text is deleted once the answer reaches your screen, and within two days at most, apart from the copy on What was sent. The answer is kept only until it reaches your screen, and within two days at most.

See every request. The bishopric can see every request sent in the last 90 days, exactly as it left 1stHour. Open Settings → Assistant → What was sent.

  • Filter by Everything, Minutes, Bulletin, Setup or Help.
  • Each row says when, what was sent and who sent it. An uploaded file is listed by its name only.
  • Tap a row to read the exact text that went, placeholders and all. A Help question is already whole on its row, and so is a file sent on its own, so those rows don't open.
  • A Help question shows Helped or Didn't help when the person who asked answered Did this help?

The log never holds what came back, only what went. Entries go after 90 days, or all at once with Turn off and erase the log.

9. The daily limit and long waits

Each ward has a set number of Assistant requests a day. Filling in a bulletin item, finding missed actions and reading a printed program each count once. Help never counts.

When the day's requests are used up, the Assistant says your ward has used today's requests and to try again tomorrow or do it by hand. The count starts over each day in your ward's time zone. Everything still works by hand: + action in the minutes, the fields of a bulletin item, and your templates in Settings.

Most requests take a few seconds. A long file or long minutes can take a minute or two. After a little while the screen says Still reading. Long files can take a minute or two. (Long minutes when you're finding missed actions). Closing the sheet or leaving the page stops the wait, but the request was already sent, so it still counts.
