A calling, start to finish
From vacancy to recorded in LCR.
- Where
- Callings
- Who
- Bishopric and ward clerk
A calling passes through a lot of hands: names in bishopric meeting, an interview, a release nobody has told yet, a sustaining, a setting apart, a line in LCR. Callings keeps track of where each one stands and what comes next.
Every calling's page lists its steps, in order, under The call:
- Names discussed · settled: you talk about names and settle on one person.
- Interviewed & accepted: the call is extended, and you record the answer. A yes puts the sustaining on the ward business list.
- Sustained: marked by itself once the Sunday the sustaining is on has come.
- Set apart: you record the setting apart, and the ward clerk gets a to-do.
- Recorded in LCR: the clerk checks that to-do off, or anyone in the bishopric marks it.
If the new call releases someone, the release gets its own short list of steps on the same page: tell them, release them at the pulpit, record it in LCR.
1stHour records each step and hands the work on: to ward business, to Appointments, to the clerk. The conversations, the interview, the vote and the setting apart all happen in person. 1stHour never changes LCR itself: the clerk still types each change in there.
1. Start with who holds what · once
SettingsYour wardWho can sign in
It lists every presidency, the bishopric and the ward callings. Name whoever already serves. That's how 1stHour knows who a new call replaces, and every call you finish keeps it up to date. The bishopric and the ward clerk can both keep it. See getting your ward set up.
2. Open a vacancy
- In Callings, tap Add a calling. The bishopric and the ward clerk see it.
- Under A calling to fill, choose the organization and type the Position ("Valiant 8 teacher"). Add Vacant since if you like.
- Under Who owns it, tap Bishop, 1st counselor or 2nd counselor, or leave it at Nobody yet. For someone outside the bishopric, such as the elders quorum president, tap Someone else and pick them from the ward's names. The owner is who to follow up with; it doesn't change who can work on the calling in 1stHour. You can change it later on the calling's page.
- Press Add the calling. The calling's own page opens.
On Flow, the Callings list sorts every calling by what it's waiting for. This one starts under No names yet. Later it moves to Names being considered, Needs an interview, Waiting on her (or him, or an answer) and Announcing & finishing.
Flow has two chips at the top. In motion is the list above, led by what organizations have asked for (see answer an organization's ask). Releases lists the releases (see releases). Callings already recorded in LCR fold away at the bottom: tap Show and the number, such as Show 4 recorded, to see them.
To talk about it at the next bishopric meeting, press Add to the agenda on its row, or Bring to the next meeting on its page.
3. Names, then one name
On the calling, tap Add a name for each person you discuss. 1stHour warns you if someone is already serving (Already serves in an organization) or is Being called to another position. It records who was considered, never why.
When the bishopric settles, press Move forward with her (or him, or them) on that name. Others can be set aside with Not this time.
If a name was raised, settled on, or a release started from the minutes of a bishopric meeting or ward council, the calling's page lists that meeting under From the minutes, with a link back to those minutes.
4. The release it causes
Once you've settled on someone, the calling asks: Is anyone being released because of this?
- If Who can sign in knows who is in the seat, it offers Release and their name, with Someone else beside it.
- Otherwise choose Yes. Who? and pick the person.
- If nobody is being released, choose No one.
The release now has its own steps on the calling. The first one, in red, is telling the person.
Heads up
1stHour holds back the sustaining's Sunday until the person being released has been told. Once the new person accepts, the calling shows Blocked in place of the Sunday choices until someone records that conversation.
You don't have to wait until then. Tap the red Tell step now to assign the conversation to whoever will have it. It goes on their assignments list. No email or text goes out; someone in the bishopric who turned on notifications gets one on their phone.
When someone moves away, you don't need to open each seat yourself. Marking them moved out in People starts a release for each calling they hold, on a calling opened for its seat. Nobody needs to tell someone who moved away, so these releases skip the red step of telling them and never hold a sustaining. Each goes straight onto the ward business list for the next Sunday, and shows under Releases in To read at the pulpit. See moved out.
5. Extend it
- Press Schedule the interview. It creates the appointment to extend the call and opens the scheduler. On the Callings list the same step is Set up a time. If your ward doesn't use Appointments, the button is Extend it, and you extend the call in person.
- Afterwards, record the answer: She accepted (or He, or Accepted), or She declined. These show once the interview has a time or times have been sent. Until then the step offers only Pick a time.
The ward clerk doesn't see appointments, so for the clerk the step is always Extend it. In a ward that uses Appointments it still makes the appointment, which waits for the bishopric under To schedule, and the calling then waits on the answer.
To have someone else find the time, often the executive secretary, tap Have someone else schedule it instead. It's on the calling and beside Set up a time on the Callings list. It creates the appointment, then opens Add an assignment, linked to that appointment, with the executive secretary already chosen. Change the owner if you like, then tap Add it.
The appointment waits under To schedule in Appointments, and the assignment goes on their list. No email or text goes out. If they turned on notifications on their phone, they get one saying they have a new assignment. The calling then says who has it ("Bro. Hale is scheduling it."), and you can still tap Pick a time yourself. Once the appointment has a time, or is marked held, the assignment checks itself off.
Until the appointment has a time or times have been sent, the calling stays under Needs an interview on the Callings list and reads "No time yet" (or who is scheduling it). It moves to waiting on an answer once the interview is booked or times go out.
A yes puts the sustaining on the ward business list right away, together with the release it causes. There's no separate button to press for it.
If the answer is no, She declined sets that name aside and sends the calling back to its names. The name stays on the calling, marked Set aside with the date and "no reason recorded". An interview that had a time stays on the books in Appointments, no longer tied to the calling; cancel it there if it won't happen. One still waiting for a time, with times sent, is withdrawn.
If you close the assignment sheet without tapping Add it, the appointment it made stays. The calling waits under Needs an interview with "No time yet" and nobody scheduling it. Tap Pick a time, or Have someone else schedule it again.
6. Pick the Sunday for the sustaining
Once they accept, the sustaining is already on the ward business list. All that's left is its Sunday.
- Open the calling. Under Next step, press Add to and a date. On the Callings list, the row offers Pick a Sunday, which opens the calling. If no Sunday is planned yet, the calling says so: add the Sunday in Program, then come back.
- Or choose the Sunday later from Business. The release it causes goes on the same Sunday.
The list then reads "Sustaining Sun, Sep 27, then set apart". There's nothing to press on that Sunday: once it comes, the calling shows Sustained, dated that Sunday, and Who can sign in shows the new person in the seat. See ward business for how it's read.
Read it by way of announcement instead? While the sustaining still waits on the ward business list for a date, tap Change type under Next step and pick By way of announcement. The two that read a call come first, then every other kind on your ward's list. The calling keeps its item, linked to its release, and its steps then name the kind in place of the sustaining. Once it has been read, the calling shows Sustained as before. To go back, pick Sustaining the same way. Once it has a date, use the item in Business.
If you're blocked: the calling shows Blocked because the person being released hasn't been told yet. The sustaining waits on the ward business list, but it can't go on a Sunday.
- Press Assign that conversation (unless someone already has it). It becomes an assignment, "Tell … about the release".
- Once the conversation has happened, check that assignment off. That records that they were told, and the Sunday choices appear.
7. Set apart, and the clerk does the rest
Heads up
Sustained is the one step that moves on its own: it's marked when the Sunday the sustaining is on comes, so you can set them apart that same afternoon. Nothing else does. Someone presses Set apart and Released, and that press is what hands the work to the clerk.
Once they've been sustained and set apart, press Set apart on the calling.
- The ward clerk gets a to-do on their To record list: enter it in LCR, due in a week. It names the organization and the calling ("Relief Society Instructor") and the day they were sustained, which LCR asks for.
- You see that to-do on the calling under Record in LCR, with the clerk's name on it.
The clerk's to-do waits until the sustaining has happened: it appears once sacrament meeting has started on the Sunday the sustaining is on. That's the Sunday's own start time, or your ward's meeting time. If you press Set apart before then, the calling still moves on, and the to-do shows up after that meeting.
- When it's entered in LCR, whoever entered it checks it off: the clerk from their list, or anyone in the bishopric from the calling, by checking the to-do or pressing Recorded in LCR under Next step. The calling reads Recorded in LCR, the to-do leaves the clerk's list, and there's nothing left to do. The calling's history shows who marked it.
The to-do only sits on a list in 1stHour. Nothing is emailed, and 1stHour doesn't update LCR: the clerk still makes the change there.
If nobody signs in as ward clerk, the to-do goes to Assignments with nobody on it, and bishopric meeting shows it until someone takes it. Pressing Recorded in LCR on the calling closes it too.
Releases
Releases follow the same pattern. The Releases chip on Flow groups them by where they stand:
- To tell
- Nobody has recorded telling them yet. This blocks the sustaining.
- To read at the pulpit
- They've been told, and the release waits for its Sunday.
- With the clerk
- It's been read, and the clerk has it to record.
Once the release has been read at the pulpit, press Released. That empties the seat in Who can sign in and gives the clerk the release to record. Anyone in the bishopric who enters it in LCR can tap Recorded in LCR on the release and press Mark done; it leaves the clerk's list.
If the person you released signs in to 1stHour and holds no other position, 1stHour asks whether to remove their sign-in too. Press Remove their sign-in, or Keep it if they still need 1stHour. They stay in People either way. If they still hold another position, it says which and keeps their sign-in.
Release someone by itself {#release-someone}
Sometimes someone is released before anyone is called to replace them.
- In Callings, tap the arrow beside Add a calling (More ways to start), then Release someone.
- Under Who, pick the person.
- Choose the organization and type the calling under Released from ("Instructor").
- Under Who tells them, pick whoever will have the conversation, or leave it empty to take it yourself.
- Press Start the release.
The release's own page opens, with its steps. The conversation goes on that person's assignments list, due in a week. The release also waits under Releases by itself, and no calling opens for the seat. To call someone to the seat later, use Add a calling for the same organization and calling as usual: the new call waits on the release. If a calling for the seat is already open, the release joins it.
Once the conversation is checked off, the release goes on the ward business list by itself, waiting for a Sunday. From there it works like any release: read it at the pulpit, press Released, and the clerk records it.
Every calling at a glance
The switch at the top of Callings has three views: Flow (the list described above), Table and People. 1stHour remembers the one you chose last on this device.
Table shows everything Flow does, as rows: what organizations have asked for, then every calling in motion. Its groups are Flow's, except that Asked for is a group of its own, and Flow's Announcing & finishing is split into To sustain, To set apart and With the clerk. Each row shows the organization, who owns it (Bishop, 1st or 2nd, or the name of anyone else who owns it), who's being considered and where they stand, the release it causes, and how long it has waited. Tap a row to open the calling.
Each row also carries its next step, the same button Flow gives it: Add names, Set up a time, Set apart and so on. An ask offers Open a calling; to close one instead, use Flow.
- On a phone, narrow it with All, Mine and the organization list, or tap the search button and type a calling, a name or an owner.
- On a wider screen, Group by sorts it by Stage, Organization or Owner, or None for one list with no groups. The filters beside it combine, and Clear puts everything back.
Mine shows the callings you own: the ones with your name under Who owns it.
A calling that has waited four weeks at one stage gets a warning mark beside how long it has waited. To change how long, or turn the mark off, go to Settings → Callings → When a calling is stuck. Nothing is sent to anyone.
This setting is only for the Table's mark. Decide today in bishopric meeting has its own rule: it lists a calling after three weeks at one stage, whatever this setting says. See the agenda.
People lists everyone named for a calling in motion, or who has accepted one, with what the roster shows them serving in now. It also lists anyone you're keeping in mind (below). Tap the search button to find someone by name or by a calling. Being considered and Need a calling narrow the list.
Someone who needs a calling {#keep-in-mind}
Someone who just moved in, or was just released, may need a calling before anyone has an idea for them. Keep them in mind here:
- In Callings, open People and tap Consider someone.
- Under Who, start typing and choose the person. Only members with no position on the roster are offered.
- If a calling comes to mind, choose its organization and type it under Calling. Otherwise leave both empty.
- Tap Add to the list.
With no calling, they wait under Need a calling, no ideas yet. Their row always offers Add an idea, so you can add a second or third. A calling you add is an Idea: a private shortlist for the bishopric and the clerk. An idea puts nobody in play, so it never flags anyone twice, and nothing is sent to anyone.
When you're ready, tap the idea (or Start a calling on the row). Choose a matching one still open, or A new calling and who owns it, then tap Start the calling. The person becomes a candidate there, and it shows in Flow and Table. The idea, and their place on the list, go. Drop the idea removes it without starting anything; Take off the list (under Add an idea) removes them from the list.
Called together {#called-together}
One idea can hold a few members called together, such as two teachers for one Primary class. Choose each of them under Called with them, then fill in Calling, which they need. The idea shows on each of their rows, with the others listed. To change who is in it later, tap the idea: choose someone under Add someone called with them, or tap × beside someone to take them off.
Start the calling makes each of them a candidate on one of their own. The first person goes on the open one you chose; the others get new ones with the same words and owner.
Someone in play twice {#in-play-twice}
If someone is named on two callings, or accepted one and is still named on another, 1stHour flags them so nobody is called twice by mistake. The warning shows on their row in Table and People, and In play twice narrows either view to them.
In People, the flagged person's row offers the step that settles it. Remove from and the calling takes their name off the one where they're only a name, like Not this time on that calling. Settle on one opens a calling to choose. Nothing is sent to anyone.
When you press Set apart (or Recorded in LCR) for someone who is still named on another calling, 1stHour asks once before it goes on. Remove her there (or him, or them) takes the name off the other calling, like Not this time. Keep both leaves the names where they are. Where they're already the settled name on the other calling, it only tells you: change that on the other calling's own page.
Answer an organization's ask
When an organization asks for a calling to be filled, it leads Flow under Asked for, with the position, who asked and when, the names they suggested and their note. An ask marked Sent discreetly was seen only by the person who sent it, not the rest of their presidency.
- Open a calling
- Adds the calling, vacant from today, and the ask leaves the list. Their suggested names aren't added: add the ones you want with Add a name.
- Close it
- Opens Close this ask. Type anything to send back under Anything to send back? (optional), then tap Close the ask.
The organization sees how far along it is, never whose name you're considering: The bishopric has it, They are working on it, Called and sustained, or Closed for now with what you wrote. A closed ask stays on their page for two weeks. Nothing is emailed to them.
The clerk's To record list
The ward clerk can do everything in Callings the bishopric can: add a calling, put names forward, move it along, start and finish a release, undo a step, and answer an organization's ask.
The clerk also has To record, beside Today in the menu. It opens on how many things are left to record. Two kinds of item land there on their own, each due a week after:
- Record in LCR, when someone presses Set apart on a calling;
- Record release, when someone presses Released on a release.
Enter it in LCR, then tick it off. That marks the calling or the release Recorded in LCR, and the item leaves the list. Done this month counts what was ticked off. What the bishopric sees shows one item as it looks to them: anyone in the bishopric can tick it off too.
Nothing on the list is emailed, and 1stHour never changes LCR.
Hand a step to someone
Tap any step on a calling to open it. A step not done yet offers Mark done. On Set apart, Assign it gives the setting apart to someone as an assignment, "Set apart …", so it shows on their list.
Note
Mark done only records the step in the calling's history. It doesn't schedule an interview or give the clerk anything: the step's own button, such as Set apart, does that. Marking Interviewed & accepted or Sustained this way still puts the sustaining on ward business, and marking Recorded in LCR takes it off the clerk's list.
The other hand-offs have their own buttons: Have someone else schedule it for the interview (see extend it) and Assign that conversation for telling someone about their release (see the release). Assignments made from the calling are listed on it under Assignments from this calling.
A release's steps work the same way. Marking it read at the pulpit before anyone recorded telling the person offers Mark both done, which records both.
Take back a release
If a release was started by mistake, or the wrong person was named:
- On the calling, tap one of the release's steps.
- Tap Remove this release.
Heads up
Remove the release? asks first. Remove it deletes the release, the conversation still open for it, and anything it put on ward business. It can't be undone: start the release again if you need it. 1stHour refuses once the release was read on a Sunday that has passed.
The calling itself stays where it was.
When someone moves mid-call
Marking someone moved out in People releases each seat they hold (see the release), and takes them off every calling still being filled that names them. The question before you confirm names those callings too.
- A calling where they are a name being considered: their name comes off. The calling stays where it was, with the other names. Nothing is set aside, so no "no reason recorded" is left behind.
- A calling settled on them, up to Interviewed & accepted: it goes back to its names to settle on, without them, the way She declined sends it back. The sustaining comes off the ward business list, an interview with no time yet is withdrawn, and a "schedule it" assignment for the interview goes. An interview that already has a time stays in Appointments; cancel it there if it won't happen.
- A calling already sustained or set apart is left alone: it's a seat they hold, and it is released like the others. So is a calling whose sustaining was already read at the pulpit.
- A seat whose new call was already accepted is left alone, since nobody can tell them about the release.
If they move back in, 1stHour takes back the releases their move started that nobody has acted on yet: not told, nothing assigned, not on a Sunday. A calling it opened for the seat goes too, while nobody has been named on it. A release that has moved on stays, and 1stHour says which. Their name doesn't go back on a calling they were taken off: raise it again with Add a name if it still fits.
Deleting someone from People is refused while a calling still names them, or a release of theirs isn't recorded. Take their name off first, or mark them moved out to keep their history.
Changed your mind?
To step back:
- Undo a step on the calling steps it back one stage.
- Tap any finished step for Undo back to here. That step and every step after it open again.
What comes back off when you undo:
- The sustaining and release on the business list, if you undo Interviewed & accepted.
- The new person's seat in Who can sign in, if you undo Sustained.
- The clerk's to-do, if you undo Set apart and the clerk hasn't checked it off yet.
What stays:
- An appointment 1stHour made to extend the call stays in Appointments.
- A to-do the clerk already checked off stays done.
Heads up
Once the Sunday a sustaining or release was on has passed, it can't be taken back from here. 1stHour refuses the undo and says so.
Park it for later
When a calling has to wait, park it. It keeps the step it's at and leaves the working groups until you bring it back.
- On the calling, press Park it.
- Under Bring it back in, choose 1 week, 1 month or 3 months, or Pick a date.
- Add a line under Why (optional) if it helps ("After the youth conference").
- Press Park it.
On Flow, it now sits under Parked, with the day it comes back and your line. You get an assignment, "Bring back: …", due that day. That assignment is the reminder; nothing else is sent.
To pick it up again, press Bring back on its row or on the calling, or check the assignment off. Either way the calling returns to the group it was in, and the assignment is done. To change the day, press Change the day on the calling.
Not filling it after all
If the bishopric decides not to fill a calling, cancel it. The bishopric and the ward clerk can.
Heads up
Cancel the calling removes the calling for good, with whatever it set up that hasn't happened yet. It can't be undone: to fill the position later, add the calling again.
- On the calling, press Cancel calling. The sheet says what goes with it.
- Press Cancel the calling. You're back on the Callings list.
What goes with it:
- the release it causes, and the conversation assigned for it;
- the sustaining and release on the business list;
- steps assigned to someone and not yet done, and the clerk's open to-do;
- an appointment to extend the call that has no time yet;
- the new person's seat in Who can sign in, if they were sustained.
What stays: an appointment that already has a time stays in Appointments, so cancel it there if it won't happen. To-dos already checked off stay done.
If an organization asked for the calling, the sheet also offers Anything to send back? (optional). Their ask closes with the calling, and they see what you wrote beside Closed for now on their page. Nothing is emailed to them.
Note
A calling that has been set apart is filled, so it has no Cancel calling: release the person instead. 1stHour also refuses, and says why, once the sustaining or the release was read on a Sunday that has passed, or once the release was marked Released.
