Recommend renewals

Next month's list from LCR, worked one message at a time.

Each month, LCR can list the temple recommends that expire next month. 1stHour turns that list into one assignment per person, given to someone in the bishopric. Each assignment then tells you when to send its first message, when to follow up, and when to send a final note. When the interview is booked, here or anywhere else, the assignment is gone.

You need LCR's Temple recommend status report: a PDF, a CSV, or the table copied from the screen.

Note

1stHour never sends these messages. You send each one from your own phone, and tell 1stHour that it went.

1. Bring in next month's list

AssignmentsAdd an assignmentImport Temple Recommend Renewal Assignments

  1. Open Assignments, tap the arrow beside Add an assignment, then Import Temple Recommend Renewal Assignments.
  2. Tap Choose the LCR report and pick the PDF or CSV. Or copy the table in LCR and paste it under Paste the table.
  3. Tap Read the list.

The report is read on your phone. The file never leaves it, and it's let go when you leave the screen. If 1stHour can't find a list in it, the screen says so; copying the table and pasting it usually works.

2. Choose who takes each person

The second step lists everyone found in the report. Everyone starts checked. Anyone whose recommend the report shows as rejected is left out, and a line above the list names them.

  1. Uncheck anyone who doesn't need an assignment, such as someone already booked or someone who has moved.
  2. Under Assign everyone to, choose who takes the list. It starts on the executive secretary when one signs in, or on you.
  3. To give one person to someone else, change the name on that row. The row then says who it was changed from.
  4. Check Due. It starts on the last day of next month.
  5. Tap Create and the number of assignments, such as Create 12 assignments.

You're back on Assignments, and a line at the bottom says how many were made. Each assignment keeps only the person's name, who it's assigned to, the due date, and whether the report marked it Limited use. Nothing is sent to anyone.

Start over clears the list and goes back to the first step.

3. Work the list

The assignments are rows on Assignments, counted and grouped like any other. Each has a box like other rows, but its box books the interview instead of checking the assignment off (see book the interview). Where a message is owed, the row has a button that says which: Message, Follow up or Final note.

Grouped by Person, Org or Date, each assignment sits with the rest, marked "Recommend renewal": by person in its owner's card, by organization under No organization, and by date where its due date falls. Grouped by Source, they share one Recommend renewals card. Its header says how many are open and when they're due, and each person is in one of two groups:

Ready to send
A message is owed today. The row says what, such as "Not messaged yet" or "Follow-up due today".
Waiting
The last message went out. The row says when it went and when the next comes back, such as "First sent Oct 6 · follow-up Oct 20", or when the assignment closes.

Mine shows only your own. The bishop and the executive secretary see everyone's under Everyone. One past its due date is overdue, like any assignment, and shows under Overdue.

To bring in another list, use the arrow beside Add an assignment again.

4. Send a message

  1. On a row in Ready to send, tap its button (Message, Follow up or Final note).
  2. The right template is already picked: the first message, a follow-up or the final note, or Limited use for a limited-use recommend's first message. Tap another to change it.
  3. Read the message. Their name, the month and your ward fill themselves in.
  4. Type into any amber blank, under the message.
  5. Tap Share the message, or one of the icons under Or send it: a text message, an email, WhatsApp or a copy. You pick the person in that app.
  6. Back in 1stHour, Did it go out? asks. Tap Mark it sent if it did.

Marking it sent starts the wait to the next message. Under the question, What happens next shows the day each later message comes back, and the day the assignment closes, if you mark it sent today. Not yet goes back to the message and records nothing.

1stHour never sees your messages and never stores a phone number or an email address for them. How the message sheet works, and how to change its words, is in send a message.

5. When the interview is booked

Heads up

Booking deletes the assignment. Nothing of it is kept, and there's no undo.

Tap the box on the row, or Interview’s booked at the bottom of the message sheet. 1stHour opens Interview for the person:

Book the interview
Opens Appointments on a temple recommend interview, with the person already filled in when exactly one person in the ward list (People) has that name. Choose a time and schedule it as usual. Once it's booked, the assignment is deleted. Shown while Appointments is on.
It’s already booked
For an interview booked some other way, such as on the sign-up page. The assignment is deleted.

Not yet keeps the assignment.

6. When an assignment closes

Each wait counts from the day the message before it was marked sent. Once the last message is marked sent and its wait is over, the assignment closes and is deleted. Nothing of it is kept.

An assignment whose messages aren't marked sent stays on the list until they are, or until you tap its box.

The schedule (how many messages, how far apart, and how long before the assignment closes) is the ward's, under the renewal schedule.

7. Change the schedule

SettingsYour wardMessage templates

Under Recommend renewal schedule:

  1. First message goes out when the assignment is made. Choose which template it uses.
  2. Each follow-up waits 1 week to 4 weeks after the one before. Choose the wait and the template.
  3. + Add a follow-up adds another, up to four messages in all. The minus button beside a follow-up removes it. The last one is always the Final note.
  4. Under Close the assignment, choose Right away, 1 week or 2 weeks after the last message.

It saves as you change it. New assignments follow it. Assignments already started keep the schedule they began with.

Every ward starts with a first message, a follow-up two weeks later, a final note one week after that, and closing one week after the final note.

Who sees them

Only the bishopric can bring a list in, and an assignment can only be given to someone in the bishopric who signs in.

The bishop and the executive secretary see every renewal. Anyone else in the bishopric, such as a counselor, sees only the ones given to them. The ward clerk, org editors and every other role see none. This is decided by the server, not only hidden on the screen. See who can see what.
