Connect Google Calendar

Busy time kept free, appointments on the calendar, and what's already there brought in.

Where
Settings → Just you → Google Calendar
Who
The bishopric

With an interviewer's Google Calendar connected, 1stHour doesn't offer times he is busy, and every appointment booked in 1stHour goes onto his calendar. Google, not 1stHour, sends the invitations. Events already on the calendar stay as they are until you bring them in.

Bringing an event in makes it an appointment in 1stHour at the event's time. The event stays on Google with its own title and guests. Nothing is sent to anyone. Cancelling the appointment in 1stHour later takes the event off Google too, and Google tells anyone it invited.

1. Connect it

SettingsJust youGoogle Calendar

  1. Tap Connect Google Calendar. Google opens.
  2. Sign in to the Google account that holds the calendar.
  3. When Google asks what 1stHour may do, tick every box, then continue.
  4. Back in 1stHour, under Which calendar should appointments use?, tap the calendar.

Each calendar in the list says what 1stHour can do with it. Busy time, and appointments go on it is what you want. Busy time only, or Read only, keeps busy times from being offered but can't take appointments: ask the calendar's owner in Google for "Make changes to events", or pick another calendar.

The section then shows the calendar, who connected it, and the Google account. Appointments go on it named for both people, such as Ada Okafor <> Bishop Alden Marsh, never the type.

For someone else. The bishop and the executive secretary can connect anyone's from Settings → Appointments → Interviewers’ availability, signing in to that person's Google account. A calendar is connected to someone's sign-in, so a counselor who doesn't sign in yet needs one first: invite him under Who can sign in, and the section says so until then.

If it asks for the time zone first. Set the ward's time zone in Ward details, so appointments land at the right hour, then come back and connect.

If it says Google Calendar isn't set up for this ward yet, connecting isn't available to your ward yet.

2. Change, resync or disconnect

SettingsJust youGoogle Calendar

Change calendar
Lists the account's calendars again to pick another. Keep the current one leaves it.
Resync
Checks Google right away for appointments moved or deleted there, rather than waiting for 1stHour's regular check.
Disconnect
Asks first.

Heads up

Disconnect Google Calendar? Busy time on that calendar stops keeping times from being offered, and new appointments don't go onto it. Appointments already on it stay where they are. The interviewer also leaves the sign-up page until a calendar is connected again.

When Google stops letting 1stHour in, for example because the access was removed in the Google account, the section turns red: Google stopped letting the app into the calendar. Tap Reconnect and go through Google again.

Heads up

Until he reconnects, his busy time on Google doesn't keep anything free, so you can be offered a time he is busy. New appointments don't go onto his calendar, and he isn't offered on the sign-up page. Appointments already booked stay booked.

3. Change or delete an event on Google

You can move or delete an appointment's event on Google itself. 1stHour reads the change on its next check, or when you tap Resync.

  • Moved on Google: the appointment moves to the event's new time, even outside the windows.
  • Deleted on Google: the appointment goes back on To schedule with Removed from Google Calendar and the time it had, to be given a new time or cancelled. One brought in with a series is taken off instead.

Past appointments, and ones already marked held, are left as they are.

4. See what isn't in 1stHour yet

AppointmentsThis week

When events on a calendar you look after aren't in 1stHour, This week shows them two ways:

  • A box at the top, such as 3 events on your Google Calendar aren't in 1stHour, with the soonest three. Tap Add to make one an appointment, or × if it isn't one. Show all opens the whole list.
  • Each one in its day, at its time, marked Only on Google Calendar, with Add to 1stHour and Not this.

Add and Add to 1stHour open a short sheet with Who is it for and Type, filled in from the title where it can be. Check them and tap Add to 1stHour. The Appointments button in the menu carries the same count.

You can also open the whole list from Settings → Just you → Google Calendar. Tap Bring in appointments already on Google. This is the place to start right after you connect a calendar.

The list shows events over the next 90 days that fall in the interviewer's availability windows (Settings → Just you → When I’m available), since that is where appointments are. A dentist visit on Wednesday afternoon or a soccer game on Thursday stays off the list. If no windows are set yet, every event is listed. When nothing falls in the windows, the list says how many events it left out.

All-day events, events longer than four hours and events that run past midnight are left out. So is anything 1stHour already put on the calendar. To link an event outside the windows, use From Google Calendar while scheduling.

The count on This week comes from 1stHour's regular check of Google. Resync in Settings → Just you → Google Calendar checks right away. The list itself is read from Google each time you open it.

5. Bring several in at once

AppointmentsNot in 1stHour yet

  1. Tick the box beside each event that is an appointment.
  2. Check Who is it for. When the title names someone in the ward list (People), their name is filled in for you.
  3. Check Type. When the title names a type, such as "Temple recommend", it is chosen for you. For a type the ward doesn't have yet, choose New type…, name it, and tap Add type. Its default length is the event's.
  4. Tap Bring in at the bottom. The button says how many.

Each event becomes an appointment at its own time and length. If one can't be brought in, for example because it was moved or deleted on Google since the list opened, the message says why. The others still come in.

1stHour only guesses from the title. Check each name and type before you tap.

6. Bring in a meeting that repeats

AppointmentsNot in 1stHour yet

A meeting that repeats on Google, such as a monthly visit with an organization president, can come in once for good.

  1. Tick the box beside one of its events.
  2. Under Bring in, choose Every one in this series.
  3. Check Who is it for and Type, then tap Bring in.

Every event in the series over the next 90 days becomes an appointment with that person and type. As later ones come within 90 days, 1stHour adds them too. Nothing is sent to anyone, and the events on Google stay as they are.

The series is listed under Brought in as a series at the bottom of the same page. Each of its appointments also has a Repeats row. Tap Change in the list, or Change all on any of its appointments, to give every later appointment someone else or another type, then tap Save. One you changed on its own keeps its change.

Heads up

Cancelling one of its appointments in 1stHour takes that one meeting off the Google calendar too, and Google tells anyone it invited. The rest of the series stays.

If one is deleted on Google, its appointment is taken off. It isn't sent back to be scheduled.

Tap Stop the series to bring no more in. The appointments already made stay, but they are no longer part of a series: they lose their Repeats row and Change all. From then on each acts like any event you brought in on its own. Cancelling one in 1stHour leaves its event on Google, and deleting its event on Google sends it back to To schedule.

If you change the meeting on Google with "this and following events", Google starts a new series. Its events wait in Not in 1stHour yet and on Appointments, marked Carries on a series you bring in, with the same person and type filled in. Bring it in the same way.

7. Set aside what isn't an appointment

AppointmentsNot in 1stHour yet

Tap Not an appointment beside an event, such as a dentist visit, so it stops showing. For an event that repeats, such as a weekly bishopric meeting, choose Every one in this series to set them all aside at once, or Just this one.

Tap Undo on the message to take it back. Later, open Set aside at the bottom of the list and tap Bring back.

Setting an event aside changes nothing on Google.

9. Whose event titles you can see

Each interviewer sees the titles and guests of the events on his own calendar. The executive secretary also sees them on the bishop's calendar.

Everyone else who can manage a calendar sees only when it is busy. That includes the bishop looking at a counselor's calendar, and the executive secretary looking at a counselor's. They can still bring a time in, entering who it's for and the type themselves.

See who can see what for the rest of what each role can do.
