Youth appointments
Two a year, about six months apart, and who has each youth.
- Where
- Appointments → Youth
Youth is a tab in Appointments. It shows every youth's calendar year, January to December, with two chips each: one for each appointment they need with the bishopric this year. Having one of the two with the bishop is ideal, not required.
Who counts as youth comes from People: the Youth chip on a person's card. Tick it there and they appear here. Nothing ticks or unticks it by age: someone turning 12 or 18 stays as they were until you change the chip. An import can tick it from an age or birth date in the file, and keeps neither.
Unticking it takes the youth off this tab. Their appointments stay in Appointments.
1. What counts
A youth's year counts Youth appointment and Temple recommend appointments. Nothing else does, and there is no setting for it.
An appointment counts once it has happened:
- it was marked done, or
- it was booked and its time has passed, or
- it was recorded with Mark as held.
If an appointment didn't happen, remove it from a youth's page, and its chip opens again. That works even if it was marked done by mistake.
An appointment counts for the person it is for: the name under Who is it for. Anyone added under Also with, such as a parent, is named on the appointment but it doesn't count toward their year.
2. Read the Youth tab
- The three cards at the top count the youth shown: 2 of 2, 1 of 2 and none yet. Tap a card to list only those youth. Tap it again to see everyone.
- Mine shows the youth given to you. Everyone shows them all. A counselor starts on Mine; the bishop and anyone else start on Everyone.
- Search by name, under the tabs, lists only the youth whose name you type. The counts still include everyone. It works the same on every Appointments tab, and what you typed stays as you change tabs.
- Not done hides everyone already at 2 of 2. One filter works at a time: tapping a card turns Not done off, and the other way round.
- Sort puts each group A to Z by First name or Last name. Sorted by last name, each name reads last name first (Cole, Mia). Your choice is kept on this device, and People uses the same one.
- Youth are grouped by who has them: each counselor, then the bishop, then No counselor.
Each row has two chips:
- A solid chip is one that happened, with its date. BP means the bishop held it.
- A dashed chip with a date is booked and still ahead.
- A dashed chip reading Sent is a link out to the youth, waiting on their reply. One reading To book is waiting under To schedule. Tap either to book it.
- A + chip is still open. Tap it to schedule.
Only the bishop and the executive secretary see the bishop's appointments. For anyone else in the bishopric, a meeting with the bishop shows as a BP chip with no date: solid if it happened, dashed if it is still ahead. It still counts toward the year. On the youth's page it reads With the bishop, with no day or time.
A row that reads 2 of 2 · no bishop yet is done for the year. It just notes that the bishop hasn't met with them.
Under where a youth stands, the row says when their next appointment is due, by the month:
- Next due Nov is about six months after their last one, of any year. A youth who was just seen isn't due again for six months.
- First due Oct is for a youth with no appointment yet. See Spread out after an import under Divide the youth.
- · overdue is added once that month has gone by.
- Nothing shows while one is booked or waiting for a time. That is what is next.
Tap a chip with a date to open that appointment. Tap anywhere else on a row to open that youth's page.
3. Divide the youth
When some youth have nobody, the Youth tab says how many, with Divide.
- Tap Divide.
- Tick the youth you want to give to one person. Youth with no counselor are listed first. To find someone, type their name in Search the youth. Anyone you ticked stays ticked. Sort lists each group by First name or Last name, the same choice as the Youth tab.
- In the bar at the bottom, tap the person to give them to. The tap gives them.
The bishop is one of the choices, for wards where he takes some of the youth himself. Anyone in the bishopric can still hold any youth's appointment; this only says whose list they are on.
Spread out after an import {#spread-out}
Right after youth come into People there is no history, so nobody has a last appointment to count from. 1stHour doesn't make them all due at once. As you give youth to someone, each one with no appointment yet gets a month: this month or one of the five after it, whichever has the fewest of that person's youth due, so each list comes due a few at a time. The month stays put. It doesn't change from day to day, or when someone else is added to the list. Give a youth to someone else and they get a month on the new list.
A youth nobody has yet also shows a month, so the list doesn't pile up, but it is only set for good once they are given to someone.
4. Schedule one from a chip
- Tap a + chip.
- Under Who, pick who will hold it. It starts on their counselor. For their last appointment of the year it starts on the bishop instead, if he hasn't met with them yet.
- Tap Send times to send them a link with a few times to pick from, or Pick a time to book one yourself.
Both open the usual booking sheet with Youth appointment already chosen. Once booked, the chip turns dashed with the date.
Send times with more than one of you {#times-with-several}
A youth can meet with the bishop or either counselor, so one link can offer times with several of you. It works for any type more than one of you holds. A type only the bishop holds, such as a temple recommend, offers his times alone.
- On the booking sheet, choose They pick from a few. Your own times start already checked.
- Under Also offer times with, tap anyone else whose times should go on the link.
- Whose times switches the list between you. Check times on each person's list. Each list is checked against that person's own appointments and buffer.
- Tap Send the link. The line above it counts the times with each of you.
The youth sees who each time is with, such as 7:00 – 7:20 pm · with Bro. Ames. Under With, Whoever’s free shows every time, and a name shows only that person's. The first time they tap is booked with that person, on that person's calendar, and every other time on the link is released.
5. Record one that already happened
For a talk in the hall or at an activity that was never booked:
- Tap a + chip, then Mark as held.
- Check Who, and set Held on. It starts on today. It can be any day this year up to today, and in January any day last year too.
- Tap Mark as held.
The chip fills straight away. Nothing is put on a calendar and nothing is sent. Tap Undo in the message at the bottom to take it back.
A temple recommend held with a youth needs nothing extra: book it as a Temple recommend and it counts toward their year on its own.
6. A youth's page
Tap a youth's row on the Youth tab to see:
- Counselor: tap the row to give them to someone else, or to No one.
- This year's appointments. One recorded with Mark as held reads Recorded, not booked. One still waiting for a time reads Link sent or To book. Tap it to book it.
- Every appointment that has happened has Edit: recorded, marked done, or booked with its time gone by. Fix the day or who, or Remove it. Fixing a booked one marks it done and keeps its time.
- If they missed it, tap Edit, then Remove. 1stHour asks first, then Remove it takes it off for good. It stops counting, and any event it put on Google comes off without a cancellation email. Then schedule another.
- Any appointment that has happened, youth or not, can be fixed from its own record too. Open it from Appointments → On the books. Its The past week part, above Today and ahead, lists the last seven days, each marked Held. Nobody has to mark an appointment done: once its time passes, it counts as held. Tap The past week to fold it out of the way, and it stays folded on that device. Each day folds the same way: tap its name.
- On its record, one still ahead has Edit it and Cancel it at the bottom. Once its time has passed, the record shows who held it and the day, each with Change. If it didn't happen, tap Didn’t happen, then Move it to another time, or Remove it to take it off for good.
- A booked one still ahead has Cancel instead, in the same place. Google tells anyone on its event.
- Schedule an appointment, under this year's list. It opens the same choices as a + chip: pick Who, then Send times, Pick a time, or Mark as held.
- Earlier: one line per year. Tap a year to see its appointments. A temple recommend that counted says Counted as youth.
- View person details, which opens them in People, searched for by name, so their card is the whole list. Clear the search to see everyone again. The back arrow at the top returns you here.
A youth's card in People links back here with Youth appointments and where their year stands.
Only dates and who are kept. There is no place for notes.
7. Youth elsewhere in Appointments
- Coming due has one row saying how many youth are under 2 of 2 this year: on Mine, how many of yours; on Everyone, how many in all and how many of them are yours. It also says how many are due within a month: their next is due by then, or overdue, and nothing is booked. Tap it to open the Youth tab.
- On This week and On the books, a temple recommend for a youth is tagged + Youth, since it counts toward their year too.
