Schedule an appointment

Pick a time yourself, or send a few for them to choose.

Every appointment starts in the same sheet. You say who it is for and what kind it is, and 1stHour lists only the times that fit the interviewer's windows, his Google Calendar and the gap he keeps between appointments. Then you take one time, or send the person a few to choose from.

You need two things first: the interviewer's windows, and, for Google invitations, his Google Calendar. See set when you're available and connect Google Calendar.

1. Schedule an appointment

AppointmentsSchedule an appointment

  1. Open Appointments and tap Schedule an appointment. On a phone it reads Schedule.
  2. Under Who is it for, start typing and pick the person from the ward list (People), or just type a name.
  3. To add a spouse or a parent, type them under Also with. They are named on the appointment and on the calendar event.
  4. Under Type, choose what kind of appointment it is. New type adds one on the spot.
  5. Under How long, keep the type's default or pick another length. Other takes any number of minutes.
  6. Under Who interviews, check who it is with. It starts on whoever takes that type.
  7. Under When, choose I pick one or They pick from a few.

Then follow pick a time yourself or send a few times.

Schedule a calling's interview from the calling itself, and a bishop's list meeting from the list. The same sheet opens, already filled in.

2. Pick a time yourself

With I pick one, the sheet lists What fits over the next few days. More days goes further.

  1. Tap a time.
  2. If the interviewer's calendar takes appointments, type the person's address under Their email to have Google send them an invitation. Leave it empty to send nothing.
  3. Tick Let them know if you'll send them a message with the day and time yourself.
  4. Tap Schedule it.

It is booked straight away and goes on the interviewer's Google calendar. With Let them know ticked, a message opens with the time in it, to send from your own phone (see appointments messages).

Full day opens one day with every stretch of every window. Each row says what it is: Open, someone already booked, Buffer (the gap kept after an appointment), Busy on your calendar, or Window full (the window already holds as many as the interviewer allows). Tap an open time, then Take a time.

3. Send a few times to choose from

With They pick from a few, the first open time on each of the next three days that have one, from two days out, is already ticked. Change any. No two are back-to-back.

  1. Check the times. Tick or untick to change them.
  2. Tap Send the link.
  3. A message opens with their link in it. Send it from your phone, or copy just the link.

On their link, times on more than one day come with a row of days, as on the sign-up page. They tap a day, then a time.

The appointment waits on To schedule under Waiting on a reply. The times stay held, so nobody else can take them. The first one the person taps is booked, and the others are let go.

The link runs out two days before the first time it offers. When that is sooner than tomorrow, it runs out tomorrow, or today if the first time is tomorrow. The sheet says when before you send. Once it runs out, its times open up again, and the row on To schedule says so with Offer again. The same happens when they tap None of these work, or when every time was taken.

If they answer some other way, tap Schedule on their row and pick the time yourself.

4. When nothing fits

A time that's a few minutes short. A row that is too short for the appointment plus the gap opens How to make it fit when you tap it:

Drop the buffer, just this once
Books the full length with no gap after it. The appointment then carries a red warning that the next person may be waiting in the hall.
Shorten it to a number of minutes
Books a shorter appointment and keeps the gap.
Leave it and take the next time
Books the next time that fits, with nothing bent.

Tap Book and the time to finish. This only bends the one appointment; the interviewer's settings stay as they are.

A time outside the windows. Tap Some other time, set the Date and Time, then tap Schedule at this time. Use it for a time agreed in the hall, or a day that is blocked. It is still refused if it runs into another of that interviewer's appointments.

An event already on Google. From Google Calendar links an event on the interviewer's calendar as this appointment. See link one event.

A temple recommend with no time yet. No time yet, keep it on Coming due opens Due by. Set the date it is due by and tap Add to Coming due. It waits there, under Recommend expiring, until someone gives it a time. This is offered only for Temple recommend.

5. What the person gets

1stHour never emails or texts a member itself. What reaches them depends on how it was booked:

You picked a time and typed their email
Google emails them a calendar invitation from the interviewer's calendar.
You picked a time with no email
Nothing, unless you ticked Let them know and send the message yourself.
You sent a few times
The message you send from your phone. On their link they pick a time and can give up to five addresses under Send the invitation to; Google then emails each of them an invitation. With no address, they can add it to their own calendar from the page.
They booked on the sign-up page
Google's invitation, with a link to change or cancel. With We confirm it, the time is held until someone confirms it, then Google emails that it is confirmed. See let members book a time.

Only a sign-up page booking carries a link to change or cancel. A time you picked, or one they chose from times you sent, has none: if they need another time, they will contact you, and you move it.

Note

If someone declines Google's invitation, the appointment stays booked. Open it and check Guests to see who said yes or no.

6. Move one

  1. Tap the appointment to open it.
  2. Tap Edit it. The schedule sheet opens on it.
  3. Pick the new time, then tap Schedule it.

Its event on Google moves too, and Google tells everyone invited the new time. To send them a message of your own as well, tick Let them know before you tap Schedule it.

7. Cancel one

  1. Tap the appointment to open it.
  2. Tap Cancel it. One still waiting for a time has Cancel this appointment at the bottom instead; on To schedule it is also in the row's menu.

Heads up

Cancel this appointment? says what goes with it. Cancel it takes it off the books for good. If it was on Google, its event comes off the calendar and Google emails everyone invited that it was cancelled. A link you sent them stops working. It can't be undone: to meet after all, schedule it again.

An event that was on Google before you brought it into 1stHour stays on Google when you cancel the appointment. Delete it on Google if the meeting is off.

An appointment that extends a calling reads Take it off instead. Take it off the books? takes its time off, and off Google, and puts it back on To schedule, still extending the calling. Give it another time there, or let the calling go in Callings.

An appointment started from the minutes closes the minutes' assignment to schedule it when you cancel it.

8. When a member changes or cancels

A member who booked on the sign-up page can open the link in Google's invitation and tap Change the time or Cancel. 1stHour moves or cancels the appointment, and Google tells everyone it invited.

Nothing emails you about it. If the appointment is today, the interviewer and the executive secretary get a notification on their phone, from 6:00 AM, when they turned notifications on. A change for a later day tells nobody: it simply moves, or leaves Appointments.

9. Two appointments at the same time

Two interviewers can be booked at the same time. 1stHour doesn't keep track of rooms, so make sure each has somewhere to meet.

One interviewer is never booked twice. Times that overlap one of his appointments aren't offered, and Some other time refuses them. If two members tap the same time at once, the second is told the time was just taken and picks another.

10. What 1stHour keeps about why

An appointment holds who, when, how long and its type. There is no field for notes or the reason for the meeting, so the type is the only "why" it keeps.

  • On Google Calendar, the appointment is named for the two people, never the type.
  • In 1stHour, the type shows to the bishopric. The bishop's appointments show only to the bishop and the executive secretary, and the ward clerk sees none.
  • The member sees the type they picked on the sign-up page, or the one on the link you sent.

See who can see what.
