Find your way around Appointments

What each tab holds, and what the lines on a row mean.

Where
Appointments

Appointments has a tab for each question you ask of the schedule: what is happening this week, who still needs a time, what is booked, and who is coming due. Youth and the Bishop's list have their own guides: youth appointments and the bishop's list.

Above the tabs, Showing switches between Mine and Everyone. Search appointments finds one person on whichever tab you're on.

Tap any appointment to open it. From there you can move it or cancel it.

1. This week

AppointmentsThis week

Each day has a card for each interviewer with a window that day or an appointment on it. The card says the window's hours, or Blocked on a blackout date, and how many are booked. Tap a card's name to fold it; this device remembers.

Inside, in time order:

  • each appointment, with its type, length and who it is with;
  • each open time left in the window, marked Open;
  • events that are only on the interviewer's Google Calendar, with Add to 1stHour and Not this (see bring in what's on Google).

Times members asked for on the sign-up page wait at the top, under Waiting on you. See confirm a time someone asked for.

If nobody has set any windows yet, the tab says so, with Set when you take appointments.

Fill an open time from Coming due {#fill}

When anyone is coming due, the first open time on each card has Fill from due.

  1. Tap Fill from due. The sheet lists everyone on Coming due.
  2. Tap a person.

They are booked into that time with that interviewer, at the appointment's own length. Nothing is sent to them: open the appointment to invite them, or send them a message yourself.

2. To schedule

AppointmentsTo schedule

Everyone who has an appointment but no time yet, and the interviews a baptism asked for. The tab's number is how many.

From baptisms
Interviews a baptism asked for that have no appointment yet. Most never stop here: each one asked for is an appointment straight away, under Needs a time. See interviews for a baptism.
Waiting on a reply
People you sent a few times to. Each row says when the link was sent, how many times it offers and when it runs out. A row turns red when the link ran out, when they tapped none of the times worked, or when every time was taken. Tap Offer again to send new times. If they answered some other way, tap Schedule and pick the time yourself.
Needs a time
Appointments made with no time, such as one a calling, the minutes or a baptism started, or one whose event was deleted on Google. The row says where it came from. A baptism's also says who it is for, who asked and their note. Tap Schedule.

The arrow on a row has more: Copy the link to choose a time or Share the link to choose a time for a link still open, and Cancel this appointment. A calling's appointment has Let it go in Callings instead, since the calling decides whether it happens. A baptism's, with no time yet, has Close the request, which answers the ask without an interview.

Removed from Google Calendar on a row means its event was deleted on Google, and it says the time it had. Give it a new time, or cancel it.

3. On the books

AppointmentsOn the books

Every appointment with a time, by day. Today and ahead lists what is coming. The past week lists the last seven days, so you can open one to fix who held it or the day, or to say it didn't happen. Tap a heading to fold it.

4. Coming due

AppointmentsComing due

People who will need an appointment, before anyone has picked a time. The tab's number is how many.

Recommend expiring
Temple recommends kept here with a due-by date, soonest first. Each says how long until it expires, in red once it's 30 days or less. Tap Schedule.
Youth
One line with how many youth are under two of two this year. It opens the Youth tab.
From callings
Callings where the bishopric settled on a name and the call isn't extended yet. Schedule makes the appointment to extend it and opens the schedule sheet.

Temple recommends from LCR's renewal report are worked on Assignments instead. See recommend renewals.

5. What the lines on a row mean

Signed up
Booked by the member on the sign-up page.
Asked
Asked for on the sign-up page, and waiting for someone to confirm it.
Not matched
Signed up under a name 1stHour couldn't match to the ward list. Open it to say who it is. See when someone signs up.
Held
Its time has passed, or it was marked done.
+ Youth
A temple recommend for a youth, which counts toward their year.
Not on Google yet, retrying
It is booked in 1stHour, but Google hasn't taken it yet. 1stHour keeps trying on its own. If it stays, check the interviewer's Google Calendar connection.
No buffer here. The next person may be waiting in the hall.
It was booked with the buffer dropped, just this once.
